Job Description

Job Overview We are seeking a dynamic and highly organized Office Administrator to join our team! In this vital role, you will be the backbone of daily office operations, ensuring everything runs smoothly and efficiently. Your energetic approach and attention to detail will support our team's productivity and create a welcoming environment for clients, visitors, and staff alike. Duties Manage front desk responsibilities, greeting visitors and directing them appropriately with professional phone etiquette. Operate multi-line phone systems to handle incoming calls efficiently, transferring or taking messages as needed. Maintain organized filing systems, including digital files using Google Workspace and Microsoft Office applications. Perform data entry, proofread documents, and ensure accuracy in all clerical tasks such as filing, copying, and scanning. Coordinate calendar management and scheduling for meetings, appointments, and events with excellent time management skills. Support bookkeeping activities using QuickBooks or similar accounting software to assist with invoicing and record keeping. Provide exceptional customer service by assisting clients or patients in person or over the phone, ensuring their needs are met promptly. Assist with office management duties such as ordering supplies, maintaining office equipment, and overseeing general administrative functions. Support personal assistant tasks when required, including travel arrangements or special project coordination. Experience Proven office experience with a strong background in administrative support and clerical duties. Familiarity with office management tools such as Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace. Experience working with multi-line phone systems and providing excellent phone etiquette. Previous roles involving customer service or reception duties—such as dental or medical receptionist experience—are advantageous. Knowledge of bookkeeping software like QuickBooks or similar platforms is preferred. Ability to work independently and as part of a team Demonstrated organizational skills with the ability to prioritize tasks efficiently in a fast-paced environment. Strong typing skills along with attention to detail for proofreading documents accurately. Experience supporting calendar management and handling sensitive information discreetly is essential. $21.00 - $28.00 per hour
