Bookkeeper / Office Manager Long Island Ice -
Riverhead, NY Status:
Full-time (year-round) About Us Long Island Ice & Fuel Corporation is an owner-operated company serving Long Island for six generations. In addition to packaged ice, the company also sells fuel oil and kerosene for home heating, and serves nearly all 7-Eleven stores on Long Island as well as events, bars, restaurants, gas stations, delis, vineyards, and more. This full-time role is a great fit for someone who wants to use strong technical accounting knowledge and apply it in a hands-on small business environment. The position combines bookkeeping, office management, administrative support, and compliance paperwork, with a busy summer season and more flexible hours in the off-season. Position Overview We are looking for a detail-oriented Bookkeeper / Office Manager who can own the day-to-day accounting while also handling administrative and compliance-related paperwork. You'll keep our books clean, our filing up to date, and our office running smoothly so the owner and operations team can focus on serving customers. This role is ideal for someone who is organized, proactive, and comfortable wearing multiple hats in a small business. Key Responsibilities Bookkeeping & Accounting Maintain accurate daily financial records (AP/AR, bank and credit card reconciliations). Enter and categorize transactions; maintain the general ledger. Prepare basic financial reports for the owner (P&L, cash flow, aging reports). Process vendor bills and payments; track customer payments and follow up on past due accounts. Coordinate with the external accountant for payroll, sales tax, and year-end filings. Office Management & Administration Maintain organized digital and paper filing systems for contracts, permits, and compliance documents. Prepare and process forms, applications, and renewals (licenses, insurance certificates, DOT or industry paperwork as applicable). Draft and send routine communications to customers, vendors, and staff. Manage office supplies and basic office equipment, keep the office neat and orderly. Compliance & HR Track expiration dates for required filings, permits, and certifications, and ensure renewals are completed on time. Maintain up-to-date employee files and HR documentation Help document standard operating procedures and checklists for office workflows. Schedule Year-round position with a heavier workload May-September and lighter workload in the off-season. Ability and willingness to work weekends during the summer is required In the winter months, schedule can be more flexible with no weekends and additional time off or reduced hours, to be agreed upon in advance. Qualifications Previous experience as a bookkeeper, office manager, or similar role in a small business. Solid understanding of basic accounting principles and bookkeeping best practices. Proficiency with accounting software (e.g., QuickBooks or similar) and Excel Strong attention to detail and accuracy with numbers and paperwork. Excellent organizational and time-management skills; able to prioritize and follow through without constant oversight. Clear, professional written and verbal communication skills. Comfortable working in a small, fast-paced, seasonal business environment.
