Bookkeeper / Executive Assistant A1 Heating & Air Conditioning - East Setauket, NY Full-Time | Monday-Friday A1 Heating & Air Conditioning is seeking a highly organized, detail-oriented Bookkeeper / Executive Assistant to support our growing HVAC company. This position is ideal for someone who is comfortable managing office operations, financial administration, customer service, and executive support in a fast-paced environment. The successful candidate will be proactive, professional, dependable, and capable of handling multiple responsibilities while maintaining accuracy and excellent customer service. Required Qualifications Minimum 2 years of administrative assistant experience Proficiency in QuickBooks Experience with Accounts Receivable Experience with Accounts Payable Experience with invoicing and billing Experience processing payroll Strong computer skills including Microsoft Office Excellent communication and organizational skills Ability to multitask and prioritize workload ResponsibilitiesAccounting & Bookkeeping Process customer invoices Manage accounts receivable collections Enter and pay vendor invoices Maintain accounts payable records Process payroll accurately and on time Reconcile bank and credit card accounts Assist with monthly financial reporting Maintain accurate QuickBooks records Administrative Support Answer incoming phone calls Assist customers with scheduling and service inquiries Manage calendars and appointments Prepare documents, reports, and correspondence Maintain office filing systems Order office supplies and manage inventory Assist ownership with daily administrative tasks Other Office Operations Create and manage work orders Prepare and distribute route sheets for technicians Schedule service calls and installations Coordinate customer communications Maintain customer records within company software Real Estate & Property Management Support Prepare lease documentation Assist with lease administration Assist with permit applications and paperwork Track vehicle registrations and renewals Organize real estate closing documents Coordinate with attorneys, title companies, and vendors as needed Preferred Qualifications Experience in HVAC, construction, or home services industry Experience with ServiceTitan or similar dispatch software Property management experience Real estate administrative experience Benefits Paid Time Off (PTO) Paid Holidays Opportunities for professional growth Supportive and team-oriented work environment
Compensation:
