Job Description

Advocate Drum is a nonprofit organization dedicated to strengthening the relationship between the North Country community and Fort Drum, home of the 10th Mountain Division. Through advocacy, partnerships, and community initiatives, the organization helps ensure the long-term vitality of both the installation and surrounding communities. Position Overview Advocate Drum seeks a highly organized and motivated Executive Assistant / Office Manager to support leadership and manage day-to-day administrative and financial operations. Key Responsibilities Provide executive-level administrative support to the executive director and board of directors. Manage calendars, meetings, and communications for the organization Oversee daily office operations and administrative processes Maintain financial records using QuickBooks, including bookkeeping, financial tracking and reporting Assist with budgeting, invoices, and grant management Manage end-to-end payroll process for three employees, using ADP, ensuring compliance with applicable regulations Coordinate internal communications and organizational documentation Manage social media accounts, develop content calendar, create and respond to posts, and analyze social media traffic Support organizational initiatives, programs, and events Qualifications Experience with QuickBooks and bookkeeping required Strong organizational and time management skills Ability to manage multiple priorities and support executive-level staff Excellent written and verbal communication skills Proficiency with Microsoft 365 Experience working with a nonprofit organization is a plus Bachelor's degree preferred but not required Compensation & Benefits Salary commensurate with qualifications & experience 12 paid holidays Paid vacation Competitive 401(k) retirement plan
