Job Description

Job Overview Job Summary We are seeking an organized, customer-focused Office Administrator to manage daily operations and drive business growth. You will be the primary point of contact for our members, handling inquiries, processing payments using QuickBooks, managing billing, and actively selling memberships to new clients.
Key ResponsibilitiesMember Relations & Sales Customer Support:
Serve as the first point of contact for members, responding to inquiries and resolving issues with a professional and welcoming demeanor.
Membership Sales:
Educate prospective clients on membership tiers and benefits, actively selling and onboarding new members.
Member Retention:
Foster strong relationships with existing members to maximize renewal rates and satisfaction.
Financial & Administrative Management QuickBooks Management:
Utilize QuickBooks to oversee daily bookkeeping, track expenses, and ensure accurate financial reporting.
Billing & Accounts Payable/Receivable:
Manage and pay vendor bills on time, process customer invoices, and record all transactions.
Payment Collections:
Proactively collect outstanding payments, follow up on delinquent accounts, and maintain updated payment records.
General Office Support:
Maintain organized digital and physical office files, order supplies, and manage general correspondence.
Qualifications & Skills Experience:
2+ years of experience in office administration, customer service, and direct sales.
Financial Acumen:
Proficiency in QuickBooks is required. Strong math and general accounting/bookkeeping skills.
Communication:
Exceptional verbal and written communication skills with a proven ability to confidently sell products/memberships.
Organization:
Strong multi-tasking skills and the ability to work independently in a fast-paced environment. Oversee the onboarding process for new members, ensuring a seamless transition from prospect to active participant in the organization's programs. Experience Demonstrated experience leading teams focused on business development or account management. Strong background in marketing strategies combined with familiarity using member software, lightspeed preferred Excellent negotiation skills with the ability to close deals effectively while maintaining positive relationships.
