This role is vital in maintaining efficient workflows, managing vendor relationships, coordinating events, and supporting team members across various departments. The ideal candidate will bring a proactive attitude, exceptional communication skills, and a passion for creating an organized, welcoming workplace. This full-time position operates from 9:00 am to 6:30 pm, offering an engaging opportunity to lead office management initiatives and foster a positive work culture. Duties Manage day-to-day office operations, including front desk responsibilities, multi-line phone systems, and calendar management for staff and leadership. Coordinate and plan company events, meetings, and training sessions to promote team engagement and professional development. Supervise administrative staff, providing guidance on clerical tasks such as filing, bookkeeping, and document management. Oversee vendor management by negotiating contracts, processing invoices through QuickBooks or similar accounting software, and ensuring timely service delivery. Handle human resources functions including onboarding new employees, assisting with payroll processing, and supporting employee relations initiatives. Maintain accurate records related to office supplies, medical or specialized equipment (if applicable), and filing systems to ensure compliance and easy retrieval of information. Support budgeting efforts by tracking expenses, managing petty cash, and preparing reports to optimize resource allocation. Experience Proven experience in office management or administrative roles within a professional environment. Supervising experience with the ability to lead teams effectively while fostering a collaborative atmosphere. Strong proficiency in QuickBooks or comparable bookkeeping software for financial recordkeeping and payroll processing. Demonstrated skills in event planning, vendor negotiations, calendar management, and schedule coordination. Knowledge of human resources practices including onboarding, training & development programs, and employee communication strategies. Experience managing medical or specialized office environments is a plus. Excellent communication skills with the ability to handle front desk duties professionally while maintaining phone etiquette across multi-line systems.
