Job Summary We are seeking a dynamic and highly organized Office Administrator to join our team! In this vital role, you will serve as the backbone of our daily operations, ensuring that the office runs smoothly, efficiently, and professionally. Your energetic approach and exceptional organizational skills will help foster a welcoming environment for clients, visitors, and staff alike. This position offers an exciting opportunity to utilize your administrative expertise, multitasking abilities, and customer service talents to support our company's growth and success. Responsibilities Manage front desk operations, greeting visitors and directing them appropriately with professional phone etiquette. Operate multi-line phone systems to handle inquiries, schedule appointments, and transfer calls efficiently. Oversee calendar management for meetings, appointments, and company events using tools like Google Workspace or Microsoft Office. Perform data entry, filing, and document proofreading to ensure accuracy and organization across all administrative records. Handle office management duties such as supply ordering, equipment maintenance, and overseeing general cleanliness. Provide exceptional customer support by addressing inquiries promptly and maintaining positive communication with clients and vendors. Support bookkeeping tasks using QuickBooks or similar software to assist with invoicing, expense tracking, and basic financial record keeping. Qualifications Proven experience in office management or administrative roles with a strong background in clerical tasks. Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications. Excellent organizational skills with the ability to prioritize tasks effectively in a fast-paced environment. Strong computer literacy including data entry, typing skills, and familiarity with office equipment. Bilingual abilities are a plus for communicating with diverse clients and team members. Prior experience as a receptionist or medical/dental receptionist is advantageous. Exceptional phone etiquette and customer service skills to create a positive first impression for visitors and callers.
