Job Description

Job Summary We are seeking a dynamic and highly organized Office Manager to oversee daily administrative operations and ensure the smooth functioning of our office environment. This vital role involves managing front desk activities, coordinating office procedures, supporting staff, and maintaining a professional and welcoming atmosphere. The ideal candidate will possess excellent organizational skills, strong communication abilities, and proficiency with office management software. Your energetic approach will help foster a productive workplace where efficiency and customer service excellence thrive. Responsibilities Greet visitors, clients, and vendors warmly while managing front desk duties with professionalism and courtesy Operate multi-line phone systems, answer inquiries promptly, and direct calls efficiently using proper phone etiquette Manage calendar scheduling, appointment setting, and coordinate meetings for staff and executives Maintain accurate records through data entry, filing, proofreading, and updating databases using Microsoft Office and other relevant tools Oversee office supplies inventory, place orders as needed, and ensure the workspace remains organized and well-maintained Support onboarding and HR administrative tasks Provide administrative support such as typing correspondence, preparing reports, proofing documents, and assisting with clerical tasks to enhance overall office productivity Qualifications Proven experience in office management or administrative roles with a strong background in clerical tasks and customer service Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and basic computer literacy skills Experience with multi-line phone systems, calendar management tools, data entry, filing systems, and proofing documents Excellent organizational skills with the ability to prioritize tasks effectively in a fast-paced environment Prior experience as a personal assistant is a plus but not required Strong phone etiquette skills combined with exceptional customer support capabilities Knowledge of bookkeeping software such as QuickBooks is advantageous Demonstrated ability to handle confidential information discreetly while maintaining professionalism Join our team as an Office Manager to lead our administrative operations with enthusiasm!
