The Role The Executive Assistant & Office Manager is the operational heartbeat of Apricity. You keep the CEO effective, the office running smoothly, and the team feeling connected. You are the person who makes sure nothing falls through the cracks
  • from the CEO's calendar to the kitchen to the company's first anniversary cookout.
You work closely with the Chief of Staff and report directly to the CEO. This is not a passive coordination role. You have real ownership, real judgment, and a direct impact on how the company feels and functions every day. The right person will grow significantly with the company as we scale toward commercialization. What You'll Own Executive Support Own the CEO's calendar end-to-end
  • scheduling with strategic intent, protecting time for deep work, and making sure the right meetings happen at the right time Manage the CEO's inbox
  • triaging incoming messages, drafting responses, flagging urgent items, and keeping communications moving Coordinate travel, accommodations, and logistics for the CEO and leadership team Prepare briefing materials, meeting agendas, and action item follow-ups for board meetings, investor calls, and key external engagements Support the Chief of Staff on board prep, investor update logistics, and special projects as they arise Handle sensitive information with discretion•you will be close to confidential conversations, investor relationships, and leadership decisions Office & Facilities Own the day-to-day operation of the office•kitchen stocking, supply management, common area upkeep, and making the space feel good to work in Manage building access and security credentials for all employees and visitors Receive and route mail, packages, and inbound shipments from vendors and suppliers; coordinate with the engineering and ops teams on delivery logistics Manage relationships with building management, cleaning services, and office vendors Support space planning and office organization as the team grows•helping set up new workstations, labeling storage areas, and keeping the facility organized Culture & People Experience Own the employee experience programming•happy hours, team lunches, cookouts, holiday events, and milestone celebrations Manage the full onboarding logistics experience for new hires•desk setup, building access, equipment coordination, calendar onboarding, and making their first week feel welcoming Coordinate with fractional HR on people operations logistics•scheduling, documentation, onboarding paperwork routing Be the cultural connective tissue of the team; you notice when morale needs a lift and you do something about it Compliance & Administrative Systems Support HIPAA compliance coordination in partnership with the quality team•maintaining training logs, coordinating documentation, and flagging gaps to the right people Maintain company-wide administrative systems•shared calendars, internal org charts, vendor contact directories, and company documentation Coordinate with the fractional CFO on expense reporting, invoice routing, and basic financial administration Support scheduling and logistics for board meetings, investor diligence processes, and external site visits What We're Looking For 3-6 years of experience in an executive assistant, office manager, or operations coordinator role•startup or lab/regulated environment experience strongly preferred Exceptional organizational skills and follow-through; you make lists, you close loops, and you do not need to be reminded twice High emotional intelligence and discretion•you will be a trusted member of the leadership support layer and will routinely handle sensitive information Strong written communication skills•you will draft emails and communications on behalf of the CEO and must represent the company's voice accurately Proactive by nature•you spot problems before they become fires and you bring solutions, not just questions Warm, positive, and team-first; you understand that keeping the lights on and the culture alive is meaningful and important work Familiarity with a medical device, biotech, or regulated lab environment is a genuine plus but not required•we will teach you what you need to know about our world What Success Looks Like in Year One The CEO has measurably more time for product, fundraising, and external leadership because you own their calendar and inbox completely The office runs itself•supplies are stocked, vendors are managed, shipments are routed, and the building just works New hires consistently describe their onboarding experience as smooth and welcoming At least one company culture tradition is yours•something the team looks forward to that you built from scratch Compensation $92,000•$110,000 base salary commensurate with experience, full benefits, and equity participation.
