This vital role ensures the smooth operation of daily office functions, providing exceptional support to staff, clients, and visitors alike. As the backbone of our administrative operations, you will manage a variety of clerical and customer service tasks with energy and professionalism. Your proactive approach will help foster an efficient, welcoming environment where everyone feels valued and supported. Responsibilities Manage front desk operations, greeting visitors and directing them appropriately with friendly professionalism Operate multi-line phone systems, answer inquiries promptly, and route calls efficiently using excellent phone etiquette Handle data entry, filing, and document proofreading to ensure accuracy and organization across all records Utilize Microsoft Office Suite and Google Workspace tools to prepare reports, correspondence, and presentations Support bookkeeping activities using QuickBooks or similar accounting software to maintain financial records Coordinate calendar management and schedule appointments or meetings for staff or executives Provide exceptional customer support by addressing inquiries via phone or email, ensuring positive interactions at all times Assist with office management tasks such as supply ordering, inventory tracking, and maintaining a clean workspace Requirements Proven experience in office administration or clerical roles with strong organizational skills Proficiency in Microsoft Office (Word, Excel, PowerPoint), Google Workspace, and basic computer literacy Experience with QuickBooks or similar bookkeeping software is highly desirable Excellent communication skills: Participate in Team meetings effectively. Communicate relevant project information to superiors/office. Communicate difficult/sensitive information tactfully. Identify opportunities for improvement and collaborate with staff on suggestions/changes. Effectively utilize each team member to their fullest potential. Communicate relevant office policy and procedure updates to team members. Strong time management skills with the ability to prioritize tasks effectively in a busy environment Previous experience as a receptionist, medical or dental receptionist, or personal assistant is advantageous Knowledge of multi-line phone systems, phone etiquette, filing systems, and data entry procedures Demonstrated ability to handle confidential information with discretion and professionalism. Capacity to grow into full time position .
Pay:
$15.00 - $18.00 per hour
