This role is ideal for someone with strong customer service skills, attention to detail, and the ability to manage multiple tasks efficiently. The Office Administrator will serve as a key point of contact for customers, vendors, and internal staff while helping keep projects, scheduling, and office operations running smoothly. Duties Answer phone calls, emails, and customer inquiries professionally Schedule appointments, template dates, installations, and follow-ups Prepare invoices, estimates, and job paperwork Maintain customer files and office records Coordinate with sales staff, installers, and vendors Assist with ordering materials and tracking deliveries Process payments and assist with accounts receivable/payable Manage office supplies and general administrative tasks Provide excellent customer service throughout each project Requirements Proven experience in office administration or clerical roles with strong organizational skills. Proficiency in Microsoft Office (Word, Excel, PowerPoint), Google Workspace, and basic computer literacy. Excellent phone etiquette and experience managing multi-line phone systems. Bilingual abilities are highly desirable to serve diverse client needs effectively. Strong time management skills with the ability to prioritize tasks efficiently in a fast-paced environment. Experience with office management software such as QuickBooks is preferred; familiarity with bookkeeping is a plus. Previous experience working as a dental or medical receptionist or personal assistant is advantageous but not required.
