Job Description:
Receptionist/Office Manager Position Summary A growing professional services organization is seeking an energetic, organized, and customer-focused Receptionist to serve as the first point of contact for clients, visitors, and employees. This individual will play a critical role in maintaining a welcoming office environment while providing administrative support across multiple departments. The ideal candidate is detail-oriented, highly organized, and enjoys managing a variety of responsibilities in a fast-paced office setting. Key Responsibilities Front Desk & Office Management Greet, welcome, and direct all visitors and guests Manage incoming phone calls and transfer inquiries to the appropriate team members Maintain a professional, organized, and welcoming reception area Help ensure overall cleanliness and organization of the office environment Monitor and replenish office and kitchen supplies as needed Coordinate service appointments and maintenance requests for office equipment and supplies. Mail & Document Administration Collect, open, sort, and distribute incoming mail daily Distribute electronic mail, emails, and faxes to the appropriate team members Organize, store, and maintain office records and hard-copy files Assist with document preparation, letter creation, envelope stuffing, and other administrative projects as needed Financial & Reporting Support Process incoming checks, including coding and deposit preparation Handle commission check processing and reconciliation Prepare and distribute daily reports to designated team members Work closely with Accounting and Employee Benefits teams to ensure accurate processing and deposit of commission checks Assist with tracking and reconciling payments received Administrative Support Provide administrative assistance to various departments and team members Collaborate closely with office leadership and administrative staff to support daily operations Complete special projects and additional duties as assigned Qualifications High school diploma or equivalent required 1-3 years of administrative, receptionist, or office support experience preferred Strong attention to detail and organizational skills Positive attitude with a professional and outgoing demeanor Excellent verbal and written communication skills Proficiency with Microsoft Office Suite, including Word, Excel, Outlook, and PowerPoint. Ability to manage multiple priorities and adapt in a fast-paced environment Strong customer service and interpersonal skills Ability to work independently while collaborating effectively with team members What Success Looks Like Creates a positive first impression for visitors and callers Maintains an organized and efficient front office operation Demonstrates accuracy when handling financial documents and deposits Provides dependable administrative support to multiple teams Consistently delivers professional, responsive service to both internal and external stakeholders
