Job Description

Overview We are seeking a dynamic and highly organized School Office Manager to oversee the daily operations of our school's administrative functions. This vital role ensures that the school runs smoothly, efficiently, and professionally, providing a welcoming environment for staff, students, parents, and visitors alike. The ideal candidate will bring a proactive attitude, exceptional communication skills, and a passion for creating an organized and positive school atmosphere. You will be the backbone of our administrative team, managing everything from office procedures to vendor relationships and team supervision. Responsibilities Manage day-to-day office operations, including front desk duties, multi-line phone systems, and greeting visitors with professionalism and warmth Oversee schedule management for staff meetings, events, and school activities to ensure smooth coordination Supervise administrative staff and provide training & development opportunities to foster a high-performing team Coordinate event planning for school functions, parent meetings, and community events to ensure successful execution Handle vendor management by sourcing supplies, negotiating contracts, and maintaining positive relationships with service providers Maintain accurate bookkeeping, payroll processing using QuickBooks or similar software, and budgeting support to ensure financial accuracy Oversee filing systems, record keeping, and clerical tasks to uphold compliance and organizational standards Support human resources functions such as onboarding new staff, managing employee records, and ensuring adherence to policies Qualifications Proven experience in office management or administrative roles within educational or medical office settings Supervising experience with the ability to lead and motivate a team effectively Strong proficiency in QuickBooks or comparable bookkeeping/payroll software Excellent organizational skills with the ability to manage multiple priorities simultaneously Effective communication skills with professional phone etiquette and interpersonal abilities Knowledge of event planning, vendor management, budgeting, and office procedures Familiarity with calendar management tools and scheduling software Experience in human resources functions including training & development and employee recordkeeping Join us as a School Office Manager to make a meaningful impact by ensuring our school's operations are seamless.
