About Us We are a growing residential and commercial cleaning company dedicated to providing exceptional service to our clients. We are seeking a detail-oriented, organized, and proactive Administrative Specialist to support our financial and administrative operations. This role is ideal for someone who enjoys working with numbers, managing office processes, and leveraging technology to improve efficiency. Position Summary The Administrative Specialist will be responsible for a variety of accounting, payroll, and administrative functions that help keep our business running smoothly. The ideal candidate will be highly organized, comfortable with financial processes, technologically savvy, and eager to learn how emerging tools—including artificial intelligence (AI)—can improve workflows and productivity. ResponsibilitiesAccounting & Financial Administration Manage Accounts Receivable, including invoicing, payment tracking, and collections. Manage Accounts Payable, including vendor payments and expense tracking. Calculate and track sales tax obligations and communicate required information to the company's CPA. Maintain accurate financial records and documentation. Assist with month-end and year-end reporting processes. Payroll Administration Calculate employee payroll accurately and timely. Process payroll using Paychex. Maintain payroll records and employee information. Coordinate with management regarding payroll changes, deductions, and employee hours. Office & Administrative Support Order and maintain cleaning supplies, office supplies, and equipment. Coordinate with vendors and service providers as needed. Maintain organized digital and physical filing systems. Support daily administrative operations and special projects. Technology & Process Improvement Demonstrate strong computer skills and proficiency with business software. Learn and utilize AI-powered tools to improve administrative efficiency and streamline workflows. Identify opportunities to automate repetitive tasks and improve operational processes. Assist with the implementation of new software and technology solutions. QualificationsRequired Previous administrative, bookkeeping, accounting, or office management experience. Experience with Accounts Receivable and Accounts Payable processes. Strong mathematical and analytical skills. Proficiency with Microsoft Office and scheduling software such as Jobber. Excellent organizational skills and attention to detail. Strong written and verbal communication skills. Ability to manage multiple priorities and meet deadlines. Preferred Experience using Paychex payroll software. Experience working with a CPA or accounting firm. Familiarity with sales tax reporting requirements. Experience in a service-based business or cleaning industry. Interest in AI tools, automation, and technology-driven process improvements. What We Offer Competitive compensation based on experience.
