This position will provide general administrative support and assistance to the project managers, estimators, and field supervision staff for a growing commercial masonry contractor with approximately 60 employees. This position is open to individuals with any level of experience. Compensation level will be commensurate with experience. This is a full-time position including a full benefits package. Position Description:
Position Description Project Coordinator and Office Manager Primary job responsibilities include, but are not limited to the following: Delivery Ticket and Invoice Review Receive and organize material delivery tickets from field supervision and match the delivery ticket up to incoming accounts payable invoices Review/compare accounts payable invoices to purchase order unit costs to assure that vendors are charging the correct unit cost for materials purchased Quantify, track and document cumulative totals of materials delivered and received at the project sites Purchasing Work with project managers to create and issue purchase orders to material vendors Work with project managers to create and issue subcontracts to our subcontract partners for various scopes of work Contract Document Control New job set up on web-based software Download, organize and electronically file drawings and specifications for bidding and construction purposes Update drawings and specifications on web-based software as changes are received Incentive Program Tracking and Reporting Track field level attendance records Collect and input data to track and calculate the field attendance and production incentive bonus payments Other Duties Assist estimators with obtaining quotes from material suppliers Assist project managers with obtaining submittals for project materials Obtain, organize and submit close out documents at completion of projects Manage, track and document tool box talk completion by field employees Manage, track and document completion of daily work reports by field supervision Mange field employee expenses for travel, mileage reimbursement and similar expenses Assist in preparation of monthly pay applications and invoices Assist HR department with new-hire employees and proper documentation of employee separations and employee changes Assist Safety department with maintaining training logs and documentation
Position Requirements:
Position Requirements Project Coordinator and Office Manager Desired Qualifications/Skills:
  • Experienced with Microsoft Excel, Microsoft Word, Microsoft Outlook and Bluebeam
  • PlanGrid and ProCore web-based document control software experience a plus
  • Vista accounting software experience a plus
  • Ability to multi-task effectively and prioritize work activities
  • Ability to work in a team environment
  • Strong work ethic and ability to be efficient in getting work completed
  • Strong communication skills including the ability to communicate effectively and efficiently with masonry crew employees, masonry foreman and management team
  • Candidate must be drug free at all times
