Job Summary We are seeking a reliable and highly organized Office Administrator to join our team! In this vital role, you will be the backbone of daily office operations, ensuring a smooth and efficient work environment. Duties Manage front desk operations, greeting visitors and clients with professionalism and warmth Answer multi-line phone systems promptly, directing calls accurately and courteously Maintain organized filing systems, both physical and digital, ensuring easy retrieval of documents Perform data entry tasks using Microsoft Office and Google Workspace applications with precision Design and create flies for company use Create Homemaker Personal Care (HPC) Documents for homes Assist with calendar management and scheduling meetings and appointments for staff and executives, along with sending out reminders Handle clerical tasks such as proofreading correspondence, preparing reports, and managing mail distribution Provide exceptional customer support by addressing inquiries efficiently and maintaining positive communication Coordinate office supplies to ensure all departments are operationally ready Support office management initiatives to improve workflow efficiency and workplace environment Assists with Major Unusual Incident and Unusual Incident reporting, and logging Maintain a clean, organized, and professional office environment Assist with scheduling routine maintenance for company vehicles Skills Proven experience in office administration or clerical roles with strong organizational skills Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace tools Familiarity with QuickBooks for bookkeeping and financial recordkeeping Excellent phone etiquette and experience managing multi-line phone systems Strong computer literacy with the ability to adapt quickly to new software or systems Exceptional time management skills to prioritize tasks efficiently in a fast-paced environment Experience in customer service or support roles Personal assistant experience or calendar management expertise is advantageous Attention to detail for proofreading documents and maintaining accurate records Detail- oriented Self-motivated Ability to handle confidential information discreetly while demonstrating professionalism at all times Join us as an Office Administrator and become an essential part of our team dedicated to excellence!
