We are currently searching for an experience administrative professional to join our busy office in the Vandalia, OH area. This position is on a first shift basis, with scheduled hours fo 8a to 5p, Monday through Friday. The starting pay rate for this position is $17/hr+, based on a candidate's previous experience! JOB SUMMARY
The Branch Administrator is responsible for maintaining efficient daily branch operations through strong administrative execution, organization, and attention to detail. This role owns clerical processes, data accuracy, compliance tracking, and front-office coordination. The position also supports recruiting functions as needed during peak periods, acting as an additional resource to ensure timely candidate flow and onboarding.
ESSENTIAL JOB FUNCTIONS
Administrative Operations (Primary Focus): Serve as the first point of contact for the branch, answering phones and greeting visitors in a professional manner Manage branch communications including voicemails, emails, and ATS alerts, and route information to appropriate team members Maintain accurate and up-to-date employee and candidate records in the ATS, ensuring all required documentation is complete and properly uploaded Audit files regularly to ensure compliance with onboarding and employment requirements Manage and maintain the branch calendar, including scheduling appointments and tracking daily activity Prepare, copy, scan, and organize documents to support daily branch operations Maintain office organization, including front desk, lobby, and shared workspaces Track and manage office supplies and conduct bi-weekly inventory checks, reporting needs to the Branch Manager Monitor and audit E-Verify submissions to ensure compliance standards are met Support reporting accuracy by ensuring data entry is timely and correct Recruiting Support (Secondary): Assist recruiters with candidate flow during high-volume periods Support onboarding activities, including document collection, I-9 completion, and system entry Schedule interviews and coordinate candidate appointments Communicate with candidates as needed for follow-ups, reminders, and missing documentation Help ensure a smooth and efficient candidate experience from arrival through onboarding
General Responsibilities:
Maintain strong organization across multiple systems and priorities Identify gaps or process inefficiencies and escalate where needed Complete additional tasks as assigned based on branch needs
EDUCATION AND EXPERIENCE
High School diploma or GED required 1+ year of administrative, clerical, or office support experience preferred Prior experience in a fast-paced or high-volume environment preferred Customer service experience is a plus
SKILLS AND QUALIFICATIONS
Strong attention to detail and accuracy Highly organized with the ability to manage multiple tasks at once Proficient in Microsoft Office 365 (Word, Excel, Outlook) Comfortable learning and navigating ATS systems Clear communication and follow-through Ability to work independently while supporting a team environment
PHYSICAL DEMANDS
Frequent sitting, typing, and use of office equipment Occasional standing, walking, and light lifting Ability to read documents and work on a computer for extended periods
