Responsibilities Oversee day-to-day office operations and administrative functions Manage front desk activities, visitor interactions, and incoming communications Answer and direct calls using a multi-line phone system with professionalism and excellent phone etiquette Coordinate calendars, appointments, meetings, and company events Maintain organized filing systems, records, and office documentation Perform data entry and ensure accuracy of company records Manage office supply inventory and vendor relationships Assist with bookkeeping functions using QuickBooks or similar software Prepare, proofread, and distribute correspondence, reports, and internal communications Support special projects, travel arrangements, and executive administrative tasks when needed Maintain office equipment and coordinate maintenance or repairs Provide exceptional customer service to clients, vendors, and team members Help develop and improve office procedures and workflows to increase efficiency Foster a professional, positive, and organized office environment What We're Looking For Previous Office Manager, Administrative Manager, Executive Assistant, Operations Coordinator, or senior administrative experience preferred Strong leadership, organizational, and problem-solving abilities Excellent verbal and written communication skills Professional customer service mindset and strong interpersonal skills Experience with Microsoft Office Suite, Google Workspace, and business software QuickBooks or bookkeeping experience preferred Strong calendar management and scheduling experience Experience managing office systems, records, and administrative processes Ability to prioritize multiple responsibilities in a fast-paced environment Knowledge of multi-line phone systems and office equipment Bilingual candidates are encouraged to apply Medical, dental, legal, or service-industry office management experience is beneficial but not required Coachable, self-motivated, and committed to excellence Why Join ONYX Imaging?
