DAWG BUILT
Office Manager (Sales-Active) Role summary: You run the office like an operator, not a receptionist. You own the daily execution across the office and help drive revenue by supporting outbound sales activity with the COO. If something is dropped, missed, late, or messy—this role catches it before it becomes a problem.
This is a leadership-through-execution role:
systems, follow-up, accountability, and communication.

What success looks like (90 days) Office and warehouse are operating on clear daily/weekly checklists with zero "I thought someone else had it" gaps. Orders, installs, pickups, and deliveries are coordinated cleanly with documented handoffs.
Sales activity is consistent:
outbound call blocks are happening weekly, follow-ups are tracked, and new accounts are being added.
COO has real-time visibility:
priorities, blockers, and next actions are surfaced early. Core responsibilitiesOffice leadership + execution Own day-to-day office operations: phones, email routing, schedules, vendor coordination, supplies, and admin follow-through. Build and maintain office SOPs, checklists, and recurring task cadence (daily/weekly/monthly).
Keep internal communication tight:
who is doing what, by when, and what's blocked. Track open loops across teams (sales, warehouse, installs, delivery) and drive them to completion. Warehouse oversight + coordination (not a warehouse labor role) Ensure warehouse priorities are clear each day (staging, pickups, deliveries, installs, inbound/outbound).
Confirm documentation is complete:
photos, checklists, packing notes, damage notes, and customer communication. Coordinate with warehouse team to prevent missed shipments, late pickups, or incomplete orders. Maintain clean handoffs between sales → ops → warehouse → customer. Sales support + outbound (with COO) Participate in proactive outbound calling and follow-up to bring on new accounts (gyms, schools, departments, property managers, etc.). Maintain lead lists, call notes, follow-up schedules, and next steps in the CRM/tracking sheet.
Support quote follow-up:
"Did you see it? What's missing? When are we closing this?" Help re-activate dormant leads and past customers.
Assist COO with pipeline hygiene:
reminders, tasks, meeting scheduling, and accountability. Customer experience + issue resolution Be the calm, professional point of contact when issues arise—then drive resolution fast. Coordinate warranty/service/admin steps and keep customers updated. Escalate problems early with clear facts, photos, and recommended next actions. Tools + reporting Use and maintain the company's tracking systems (CRM/HubSpot/Sheets), shared inbox processes, and checklists. Provide a simple daily/weekly update to
COO:
Wins Open deals needing attention Ops/warehouse blockers Top priorities for next 24-72 hours Required skills and traits Proactive, organized, and relentless about follow-up.
Comfortable on the phone:
confident, clear, and not afraid of rejection. Strong written communication (email/text) with attention to detail. Can manage multiple moving parts without dropping the ball.
High ownership mindset:
you don't wait to be told—if it matters, you handle it. Can work with a bold, fast-paced, high-accountability culture. Experience (preferred) 2+ years in office management, operations coordination, or admin leadership. Experience supporting sales teams, outbound calling, or customer success. Familiarity with warehouse/logistics environments is a plus. Schedule + work environment Primarily on-site (office/warehouse) with occasional flexibility as earned. Must be available during core business hours and able to handle time-sensitive issues.
