Job Description

Job Summary We are seeking a dynamic and highly organized Office Manager to oversee daily administrative operations and ensure the smooth functioning of our office environment. This role is vital in maintaining efficient office workflows, supporting staff, and providing exceptional customer service. The ideal candidate will be proactive, detail-oriented, and possess strong communication skills to manage multiple responsibilities with enthusiasm and professionalism. As an Office Manager, you will serve as the backbone of our administrative team, fostering a positive and productive workplace atmosphere. Responsibilities Manage front desk operations, including greeting visitors, handling inquiries, and directing calls with professional phone etiquette. Operate multi-line phone systems efficiently to ensure seamless communication within the office and with external contacts. Oversee calendar management and coordinate appointments, meetings, and events for staff and executives. Maintain accurate records through data entry, filing, proofreading, and document management using Microsoft Office, Google Workspace, and other relevant software. Handle clerical tasks such as typing correspondence, managing office supplies inventory, and performing basic bookkeeping using QuickBooks or similar accounting tools. Support customer service efforts by addressing client inquiries promptly and providing support via phone or email. Assist with office management duties including organizing files, managing office equipment maintenance, and ensuring a clean, organized workspace. Provide personal assistant support to executives or team members as needed to facilitate efficient workflow. Coordinate with vendors for office supplies procurement and maintenance services to ensure operational continuity. Skills Proven experience in office management or administrative roles with strong organizational skills. Excellent computer literacy including proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace (Gmail, Calendar), and data entry skills. Familiarity with QuickBooks for bookkeeping and financial recordkeeping is preferred. Strong customer service skills with the ability to handle multiple phone lines and communicate effectively via phone etiquette. Bilingual abilities are a plus to support diverse client interactions and team communication. Experience in clerical tasks such as proofreading, filing, typing accurately at a fast pace, and managing time efficiently. Knowledge of front desk procedures along with medical or dental receptionist experience is advantageous for specific environments. Ability to multitask effectively while maintaining attention to detail in a fast-paced setting. Excellent organizational skills complemented by strong time management capabilities to prioritize tasks efficiently.
