Discover Recovery is an outpatient mental health and substance use treatment facility dedicated to providing compassionate, evidence-based care to individuals seeking recovery and improved mental wellness. Our multidisciplinary team of licensed clinicians, medical providers, and support staff works collaboratively to deliver personalized treatment plans that address the whole person. We pride ourselves on maintaining a supportive, client-centered environment that promotes lasting recovery and overall well-being.
Position Summary:
The Office Manager will serve as the central point of contact for clients and visitors. This role is responsible for front-office client management, maintaining strict confidentiality and handling information with excellent customer service skills. The Office Manager is cross trained to assist with multiple programs as needed. The role requires flexibility and ability to adapt as it involves a variety of tasks that may not be known in advance. The hours for this position would be 8:30AM - 4:30PM, Monday - Friday.
Key Responsibilities:
Provide general office administrative and secretarial support including but not limited to electronic health record data entry, word processing, answering telephones, checking messages, greeting clients and visitors with courtesy and respect, handling general inquiries, distributing mail, faxing, copying, etc. Work closely with the clinical staff, admissions, and administrative teams to provide clerical support as needed. Manages and directs client traffic while providing a welcoming culture; greeting clients and visitors with courtesy and respect, handling general inquiries; providing informational resources; interacting tactfully and professionally with all. This also includes sending daily updates via email to the staff regarding attendance and program engagement. Manage client attendance and program verification sheets. Administers clinical and group schedules. Assists with enforcing program rules and requirements. Schedule and administer UAs, oral swabs, and breathalyzer to clients. Set up and serve meals to program participants including re-stocking beverage and snack bar. Coordinate meal deliveries to program. Coordinate facility and maintenance issues with the help of other departments. Assists in maintaining confidential files in both physical and electronic forms in accordance with guidelines established to satisfy internal and external evaluating requirements. May conduct/manage intakes of new enrollments. Maintain confidentiality of all clients and staff information in accordance with HIPAA regulations. Maintains neatness and organization of the office areas/kitchen/supply room/break room. Purchase and maintain inventory of supplies for the office, custodial kitchen, and electronic equipment. Report facility issues and act as point of contact for vendors and technicians. Performs other duties as assigned in a timely fashion, with our without notice.
Qualifications:
High School Diploma or equivalent. Associate or Bachelor's degree preferred. 2+ years of experience of general office work experience. Experience working in healthcare, behavioral health, or a treatment facility setting preferred. Strong organizational, time-management, and multitasking skills. Excellent communication and interpersonal skills with the ability to communicate with multidisciplinary teams. Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and comfort learning new software systems, including EMR platforms. Ability to handle sensitive and confidential information with discretion.
