This vital role combines administrative leadership with financial management, ensuring the smooth operation of daily office functions while maintaining accurate financial records. Responsibilities Oversee daily office operations, including front desk management, greeting visitors, and maintaining a welcoming environment Manage multi-line phone systems, answer inquiries professionally, and direct calls appropriately Handle data entry, filing, and document proofreading to ensure accuracy and organization Maintain financial records using QuickBooks, including invoicing, expense tracking, and bank reconciliations Support calendar management and scheduling for staff appointments and meetings Provide exceptional customer service via phone, email, and in person to clients and vendors Assist with clerical tasks such as typing correspondence, managing office supplies, and organizing files Coordinate with external vendors for office maintenance and supplies as needed Support bookkeeping activities by processing payments, managing accounts receivable/payable, and preparing financial reports Utilize Google Workspace and Microsoft Office tools to create reports, presentations, and spreadsheets efficiently Experience Proven office management experience with a strong background in administrative support and clerical duties Prior experience with bookkeeping software such as QuickBooks or similar platforms is essential Demonstrated proficiency in computer literacy including Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications Excellent organizational skills with the ability to prioritize tasks effectively in a busy environment Strong customer service skills with professional phone etiquette and the ability to handle multi-line phone systems confidently Bilingual abilities are a plus to serve diverse client needs effectively Previous experience as a dental or medical receptionist or personal assistant is advantageous but not required Familiarity with data entry, filing systems, proofreading documents, and calendar management is highly desirable Join us to be part of an energetic team dedicated to excellence!
