Job Description

Overview We are seeking a dynamic and highly organized Office Administrator to join our team! This vital role is the backbone of our daily operations, ensuring that our office runs smoothly, efficiently, and professionally. As an Office Administrator, you will be the first point of contact for visitors and callers, manage administrative tasks with precision, and support various departments to achieve their goals. Your proactive approach and excellent organizational skills will help foster a welcoming environment and streamline our office processes. Responsibilities Greet visitors and manage front desk operations with professionalism and warmth Answer multi-line phone systems promptly, directing calls accurately and courteously Maintain organized filing systems, both physical and digital, including data entry and document management Manage calendar schedules, appointments, and meetings using tools like Google Workspace and Microsoft Office Perform clerical duties such as proofreading documents, preparing correspondence, and handling mail distribution Support bookkeeping activities using QuickBooks or similar accounting software for invoicing and expense tracking Provide exceptional customer service by assisting clients, vendors, and team members efficiently and courteously Coordinate office supplies procurement, inventory management, and maintenance requests to ensure a well-equipped workspace Assist with special projects including proofing reports, organizing files, and supporting event planning as needed Uphold excellent phone etiquette while managing inquiries via phone or email with clarity and professionalism Qualifications Proven office management or administrative experience in a professional environment Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools Experience with QuickBooks or similar bookkeeping software is preferred Excellent organizational skills with the ability to prioritize tasks effectively in a busy setting Bilingual abilities are a plus for communicating with diverse clients and team members Demonstrated customer service skills with a friendly demeanor and professional phone etiquette Familiarity with multi-line phone systems, data entry, filing systems, proofreading, and calendar management Previous experience as a receptionist or personal assistant is advantageous Ability to handle confidential information discreetly while maintaining high accuracy in data entry tasks Join us as an Office Administrator where your organizational talents will shine!
