We pride ourselves on our professionalism, accuracy, and client-first approach. We are looking for an organized, proactive, and detail-oriented Administrative Assistant to join our team and help keep our office running smoothly, especially during our peak seasons. Position Overview The Administrative Assistant will serve as the first point of contact for our clients and provide critical operational support to our accounting and tax professionals. The ideal candidate is a master multi-tasker with excellent communication skills, an unflappable demeanor under deadlines, and a high level of discretion.
Key Responsibilities Client Relations:
Greet clients warmly, answer and route phone calls, and manage incoming/outgoing mail and deliveries.
Document Management:
Assemble tax returns, financial statements, and client organizers for delivery or digital signature (e-signing).
Scheduling & Tracking:
Maintain firm calendars, schedule client appointments, and monitor workflow/due-date tracking systems.
Billing Support:
Assist with basic invoicing, processing client payments, and data entry into firm management software.
Office Operations:
Maintain digital and physical client files, order office supplies, and ensure the reception and meeting areas are pristine. Basic bookkeeping skills are helpful.
Qualifications & Skills Experience:
2+ years of administrative or clerical experience (experience in a CPA firm, law office, or professional services environment is highly preferred).
Tech Savvy:
Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Adobe Acrobat. Experience with practice management and accounting software (e.g., TPS Software, QuickBooks, or CCH ProSystemfx and Engagement) is a major plus. Attention to

Exceptional organizational skills with a proven track record of accuracy in data entry and document handling.
Communication:
Strong verbal and written communication skills, with a comfortable and professional phone presence.
Discretion:
Ability to handle sensitive financial and personal client data with the utmost confidentiality. What We Offer Competitive hourly wage $23-$26 (commensurate with experience).
