Construction Reports to: Owner / Operations Manager Summary We're seeking a highly organized and proactive Office Manager to oversee daily administrative operations for our growing construction company. This role keeps the office running smoothly, supports field teams, manages documentation, and ensures projects stay on track. The ideal candidate is detail‑driven, confident in a fast-paced environment, and superbly organized. Key Responsibilities Project Administration — Maintain project files, permits, contracts, submittals, and change orders; track deadlines and deliverables. Scheduling & Coordination — Coordinate calendars, jobsite schedules, inspections, and subcontractor communication. Financial Support — Assist with invoicing, accounts payable/receivable, expense tracking, payroll, and job cost documentation. Office Operations — Manage supplies, equipment, vendor relationships, and general office upkeep. HR & Compliance — Support onboarding, maintain employee records, track certifications, and ensure safety documentation is up to date. Communication Management — Serve as the central point of contact for clients, subcontractors, and internal teams. Required Qualifications Office Management Experience including Bookeeping. Strong proficiency with Microsoft Office, project management software, and digital filing systems. Excellent communication and organizational skills. Ability to multitask and prioritize in a deadline-driven environment. Familiarity with construction terminology, billing, and permit processes is a plus. Preferred Skills QuickBooks Knowledge or similar accounting software Experience supporting field crews or project managers Strong problem-solving and follow-through Ability to work independently with minimal supervision
