Office Manager Invertice Inc Invertice Office Manager Location:
Huntingdon Valley, PA About Invertice Invertice is a performance-driven construction contractor delivering structural concrete, commercial, and industrial projects. Our projects move fast, involve complex coordination, and require disciplined execution across field and office operations. We operate with a systems-focused mindset-clear communication, structured processes, and accountability at every level. The office team plays a critical role in supporting project delivery, financial controls, and operational efficiency. Operational Backbone of a High-Performance Construction Team The Office Manager serves as the administrative and operational hub of the company. This role ensures that financial tracking, documentation, vendor coordination, and internal communication systems run efficiently and accurately. This is not a passive administrative role. The ideal candidate is organized, process-oriented, and comfortable operating in a fast-paced construction environment where priorities shift and precision matters. The Office Manager works closely with ownership, project managers, field leadership, vendors, and subcontractors to maintain operational flow and financial accuracy. Key Responsibilities Administrative & Operational Oversight Manage day-to-day office operations and internal coordination Maintain organized filing systems (digital and physical) Support project documentation flow (contracts, COIs, permits, compliance records) Coordinate onboarding paperwork and employee records Financial & Accounting Support Process accounts payable and accounts receivable Track vendor invoices, lien releases, and payment schedules Support job cost tracking and reporting Assist with payroll coordination and timesheet verification Work with external CPA/bookkeeper as needed Project & Vendor Coordination Maintain subcontractor compliance documentation (W-9s, COIs, licenses) Track subcontract agreements and change orders Support bid document preparation and distribution Assist with contract administration and document control Executive Support Provide administrative support to leadership Prepare internal reports and operational summaries Improve systems and workflows to reduce inefficiencies Qualifications 3-5+ years of office management experience (construction industry preferred) Strong understanding of construction workflows and documentation Experience with accounts payable/receivable and basic job costing Proficiency in QuickBooks (or similar accounting software) Strong Microsoft Excel and administrative systems skills Experience managing subcontractor compliance documentation High attention to detail and organizational discipline Strong written and verbal communication skills Ability to prioritize tasks in a deadline-driven environment Compensation & Benefits Full-time, in-office position Competitive salary based on experience Health benefits package Paid Time Off and recognized holidays Long-term opportunity with a growing Florida-based contractor Invertice is an equal opportunity employer and evaluates candidates based on capability, experience, and alignment with operational standards.
