Job Description

Are you an organized, people-oriented professional with a passion for early childhood education? Collingdale Academy and our brand-new sister location, Norwood Academy, are looking for an Office Manager to be the operational backbone of both academies — with a clear path to grow into an Assistant Director role for the right candidate. This is more than an admin job. You'll be at the heart of two thriving childcare centers, working directly with our leadership team, supporting families from their very first inquiry through enrollment, and helping ensure both locations run smoothly every single day. About Us Collingdale Academy is an award-winning Montessori-inspired childcare center serving Delaware County families for years. Norwood Academy is our newly opened sister location in Norwood, PA — backed by the same trusted team, curriculum, and standards. Together, we serve infants, toddlers, preschoolers, and school-age children across two growing locations. What You'll Be Doing Serve as the first point of contact for families — answering inquiries, scheduling tours, and guiding parents through the enrollment process Manage day-to-day administrative operations across both academy locations Maintain accurate records including enrollment files, staff documentation, and licensing paperwork Support compliance with Pennsylvania DHS childcare licensing requirements Coordinate scheduling, communications, and operational logistics for both centers Assist with billing, tuition tracking, and subsidy program administration Support the Director with HR tasks including onboarding new staff and maintaining personnel files Communicate regularly with parents via phone, email, and Brightwheel Step into a leadership support role as you grow within the organization What We're Looking For 2+ years of office management, administrative, or operations experience Background or coursework in Early Childhood Education, Child Development, or a related field — strongly preferred Familiarity with Pennsylvania childcare licensing regulations is a plus Excellent organizational skills and attention to detail — you keep things running before anyone notices they could go wrong Warm, professional communicator — with families, staff, and leadership alike Comfortable working across two locations and wearing many hats Tech-savvy — experience with childcare management platforms (e.g. Brightwheel) or willingness to learn Pennsylvania Child Abuse History Clearance, FBI Clearance, and Criminal Background Check (or willingness to obtain) A genuine interest in growing into a leadership role within early childhood education What We Offer Salary range: $45-$50k per year (depending on experience) Paid time off A clearly defined growth path toward an Assistant Director position Hands-on mentorship from experienced childcare leadership A supportive, mission-driven team environment across two growing locations The opportunity to make a real impact on families and children in the Norwood and Collingdale communities
