Job Description

Our Lehigh Valley Division, located in Allentown, PA, is currently searching for an Office Manager!
What You Will Do:
Establishes and maintains files and filing systems in accordance with the Divisions policies and procedures. Responsible for all Division employee files, to include accurate attendance records- all files are electronically maintained in the current HR Software system. File all disciplinary documentation and ensure it's entered into the HR software system timely. Data entry and reporting. Back up Dispatchers completing Work Orders as required Coordinate and track the flow of invoices through the Division including making sure proper approvals are obtained and that all invoices are submitted to Corporate Accounts Payable each week. Timely and accurately report all accidents and workers' compensation claims. Answer customer service calls and train office personnel on proper phone procedures. Completion of accurate payroll records for submission to the corporate payroll department no later than the deadline set by the Payroll Manager. Recruit all assigned roles from phone screen to onboarding per process as determined by the Director of Human Resources. Complete new hire orientation per the process. Ensure new hires complete Work Opportunity Tax Credits in the form's entirety the day they are onboarded Complete discipline and attendance logs timely and accurately, ensure termination documents (inclusive of voluntary quit forms) are uploaded into the HR software system prior to termination. Respond to emails and requests timely, acknowledging emails and requests within 24 hours Special projects and other job duties as assigned.
You Have/Are:
Two (2) to Three (3) years of Office Management experience preferred. Two (2) to Three (3) years of supervisory experience required. Bachelor's degree in business administration or related field preferred Excellent organization and verbal/written communication skills Strong sense of accountability Ability to recognize and meet deadlines Experience with computers and scheduling Experience with construction software is a plus Strong work ethic with the ability to work independently in a fast-paced environment. Excellent verbal and written communications skills and strong interpersonal skills. Must be organized and motivated to succeed with the ability to prioritize multiple tasks. Strong skills related to Microsoft Office software products
