Job Description

About the Company We are a nationally recognized provider of specialized services supporting libraries, archives, and museums. Our work focuses on audio preservation, digitization, and the reformatting of legacy media to ensure long-term accessibility of historical recordings and materials. Position Overview The Office Manager plays a key role in ensuring the smooth day-to-day operation of the organization. This individual will organize, coordinate, and maintain office procedures to support overall efficiency and effectiveness. This is a highly visible role that serves as the first point of contact for clients, customers, and staff. The ideal candidate is personable, organized, proactive, and able to manage multiple responsibilities in a fast-paced environment. Key Responsibilities Office Management Help develop and implement office policies, procedures, and standards Manage office supplies, inventory, and procurement Coordinate office layout, systems, and equipment needs Maintain organizational memberships and research new affiliations Oversee maintenance of office equipment and facilities Administrative Support Manage calendars, meetings, and appointments Monitor employee schedules and attendance Serve as the first point of contact for calls, emails, and inquiries Route communications and respond in a timely, professional manner Handle incoming and outgoing mail Arrange travel for meetings and conferences Maintain up-to-date client and employee contact lists Conduct research on products and services as needed Financial & HR Support Support accounts payable and receivable processes Assist with payroll coordination and documentation (biweekly) Administer employee benefits (PTO, health/dental, 401k, etc.) Assist with onboarding and offboarding processes Ensure compliance with company policies and internal requirements Records & Compliance Maintain organized physical and digital filing systems Establish and uphold record retention procedures Ensure confidentiality and security of company records Additional Responsibilities Participate in team meetings and contribute to ongoing improvements Assist with special projects and cross-functional coordination as needed Reporting Structure This role reports to senior leadership and works closely with both executive and internal teams. The position requires a high level of independence after initial onboarding and training. Qualifications Associate's degree preferred (not required) Strong organizational and time-management skills High attention to detail and ability to multitask Strong communication and customer service skills Ability to take initiative and adapt quickly Dependable with consistent availability (full-time hours expected) Preferred Qualifications Prior office management, administrative, or customer service experience Proficiency with Mac-based systems (preferred, not required) Valid driver's license and reliable transportation Ability to lift up to 50 lbs Familiarity with audio/video or archival media formats is a plus J & J pays WEEKLY and we offer Direct Deposit, Medical, Dental and Vision Benefits, Paid Time Off, and a $$$ Referral Bonus $$$ !!!
