We specialize in emergency mitigation and structural drying services following water, fire, smoke, and mold damage events — responding when property owners need it most. As we continue to grow, we're looking for a detail-oriented and dependable Office Administrator to join our team and help keep operations running smoothly behind the scenes — from coordinating with field crews and insurance adjusters to managing documentation and supporting our clients through a stressful process. The Opportunity This is more than a front-desk role. As our Office Administrator, you'll be a critical hub of communication between our field teams, clients, insurance carriers, and management. For the right candidate, this position offers a clear path to Office Manager as our team continues to expand — with increased responsibility, leadership over administrative functions, and a larger role in shaping how our office operates. Key Responsibilities Answer and route inbound calls, texts, and emails from clients, adjusters, and vendors in a professional and timely manner Assist with new job intake — collecting loss information, entering data into our project management system, and coordinating with field crews for scheduling Maintain accurate and up-to-date job files, documentation, and digital records across platforms Support project managers with administrative tasks including work authorizations, certificates of completion, and correspondence Communicate with insurance adjusters and third-party administrators (TPAs) regarding job status, documentation submissions, and approvals Assist with invoicing, purchase order tracking, and basic accounts receivable follow-up Manage office supplies, vendor contacts, and general office organization Support HR-related administrative tasks such as onboarding paperwork and personnel file maintenance Handle sensitive client information with discretion and professionalism at all times
What We're Looking For Required:
