Job Summary We are seeking a dynamic and highly organized Administrator to join our team! This vital role involves managing daily office operations, providing exceptional team and customer service, and ensuring smooth communication across departments. As an Administrator, you will be the backbone of our office environment, supporting staff and clients alike with professionalism and enthusiasm. Seeking someone that can correctly pronounce and spell Hawaiian words and terms. Hawaiian language speaker preferred. •This job not available to those currently NOT living in Hawaii. Duties Manage front desk responsibilities, greeting partners and colleagues and directing them appropriately with friendly professionalism Operate multi-line phone systems, handle incoming calls, and provide prompt, courteous customer support Maintain organized filing systems, including digital files using Google Workspace and Microsoft Office tools Perform data entry tasks accurately, including updating records and managing databases such as QuickBooks for bookkeeping purposes Schedule appointments, manage calendars, and coordinate meetings to optimize office efficiency Assist with clerical tasks such as proofreading documents, preparing correspondence, and handling mail distribution Support office management activities by overseeing supply inventory, maintaining cleanliness, and ensuring office equipment functions properly Assist with bookkeeper, payroll, tracking and uploading receipts. Scheduling travel for staff and partners, including airfare, accommodations, and transportation. Experience Proven office experience with a strong background in administrative support roles Strong communication skills Familiarity with computer literacy including proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications Experience using QuickBooks or similar bookkeeping software is highly desirable Excellent organizational skills with the ability to prioritize tasks effectively in a fast-paced environment Strong customer service skills complemented by professional phone etiquette and manners Previous experience as an administrator, HR, receptionist or medical/dental receptionist is a plus Demonstrated ability to handle multiple responsibilities such as calendar management, data entry, filing, and proofing documents efficiently Join us to be part of an energetic team where your organizational talents will shine!
