EXECUTIVE ASSISTANT / OFFICE MANAGER
Washington, DC | Hybrid (4 days in office, 1 day remote) About the Opportunity A mission-driven organization focused on strategic initiatives at the intersection of industry, government, and global economic development is seeking a highly organized, proactive, and detail-oriented Executive Assistant / Office Manager to support a senior executive and help establish a new Washington, DC office. This is a unique opportunity to join a growing organization at an early stage and play a critical role in supporting executive operations while helping build and maintain a professional office environment. Key Responsibilities
  • Manage complex calendars and scheduling across multiple time zones while balancing competing priorities.
  • Coordinate meetings with senior government officials, industry leaders, investors, and other external stakeholders.
  • Proactively manage executive time and optimize daily schedules.
  • Coordinate domestic and international travel, including itineraries, accommodations, visas, transportation, and last-minute changes.
  • Track expenses and prepare expense reports.
  • Act as a gatekeeper, managing communications and ensuring timely follow-up on key matters.
  • Prepare correspondence, presentations, reports, and meeting materials.
  • Handle highly confidential information with professionalism and discretion.
  • Support special projects, research assignments, and other ad hoc initiatives. Office Management & Operations
  • Oversee day-to-day office operations to ensure an efficient and well-organized workplace.
  • Manage office vendors, supplies, and service providers.
  • Coordinate workspace setup, facilities requests, and office logistics.
  • Partner with internal teams including HR, IT, and Facilities to support operational needs.
  • Serve as the primary point of contact for visitors and guests.
  • Manage reception responsibilities, incoming deliveries, and general office inquiries.
  • Coordinate team meals, meetings, and occasional office events. Qualifications
  • Bachelor's degree preferred or equivalent professional experience.
  • 3-5 years of Executive Assistant, Administrative Assistant, or related experience supporting senior executives.
  • Experience working within government, public policy, diplomatic, regulatory, consulting, investment, or similarly complex professional environments is highly desirable.
  • Exceptional organizational and time-management skills.
  • Ability to manage multiple priorities in a fast-paced environment.
  • Strong written and verbal communication skills.
  • High degree of professionalism, integrity, and discretion.
  • Excellent attention to detail and problem-solving abilities.
  • Advanced proficiency with Microsoft Office, including Outlook, Word, Excel, and PowerPoint.
  • Experience with virtual collaboration platforms such as Zoom and Microsoft Teams.
  • Familiarity with travel coordination and expense management systems.
  • Comfort leveraging technology and AI-enabled productivity tools to improve efficiency.
The successful candidate will be outgoing, resourceful, highly organized, and comfortable working independently. They will excel at anticipating needs, keeping executives on track, building strong relationships, and creating structure in a dynamic environment.
