Roxana IL, Hybrid after onboarding. About the Role We are seeking a highly organized and detail-oriented Office Administrator to manage key administrative and financial functions. This position supports company operations by handling accounts payable/receivable, invoicing, customer communication, payroll assistance, and internal reporting. The ideal candidate is reliable, proactive, and comfortable working in a fast-paced environment. Our company covers Multi-state Projects. Key Responsibilities Manage Accounts Payable (AP) and Accounts Receivable (AR) Ensure timely payment to vendors and timely receipt of customer payments Work directly with customers on invoicing procedures and payment questions Track and maintain purchase orders (POs) Assist shop and field managers with invoicing, scheduling, and coordination Support communication with customers and vendors Assist with general administrative tasks as needed Implement improvements to office procedures and systems Prepare Profit & Loss (P&L) reports for profit-sharing Work with QuickBooks , Office 365 , Teams, and ADP payroll software Prepare financial documentation for the CPA during tax preparation Learn and utilize additional software such as Jobber for job tracking Qualifications Experience in office administration, bookkeeping, or AP/AR roles Proficiency in QuickBooks , Word , and Excel Ability to learn new software (Jobber, Teams or similar systems) Strong communication and customer-service skills Excellent attention to detail and organizational skills Ability to multitask and work independently Preferred Qualifications Experience in construction, service, trades, or field-operations industries Familiarity with ADP payroll systems Experience preparing financial reports or working with CPAs Why Join Us?
