Job Summary
OFFICE MANAGER / EXECUTIVE ASSISTANT
Position Summary and Focus This role provides administrative, scheduling, customer service, and operational support across a portfolio of local service-based businesses. The primary focus is managing daily operations for a Home Inspection and Pesticide Application firm. We are seeking a reliable, high-energy professional to manage growth and maintain a "client-first" standard.
Compensation & Growth Starting Salary:
$25,000 per year (Paid bi-weekly).
Performance Review:
A formal evaluation will occur after six months.
Salary Increase & Expansion:
Upon a successful evaluation, a salary increase will be granted, and the role will expand to include property management support duties.
Key Responsibilities Customer Service & Communication Lead Response:
Manage all incoming communications (email, text, online leads).
Phone Standard:
Operate a cloud-based phone system on personal devices (cell/computer) and adhere to a "three rings" response standard.
Sales & Service:
Provide accurate pricing and service information to prospective clients and perform diligent follow-ups.
Scheduling & Operational Management Software Operations:
Daily management of industry-standard CRM and scheduling platforms.
Logistics:
Schedule various services, ensure accurate documentation (notes, invoices), and monitor recurring service cycles.
Planning:
Assist the owner with route and technician workflow planning to maximize efficiency.
Administrative Operations Record Keeping:
Manage digital documentation, service agreements, and professional licenses.
Financials:
Process payments and track Accounts Receivable (AR) to ensure timely collections.
Compliance:
Track professional certification reminders, insurance renewals, and vendor accounts. General Business Support Assist the owner with email management, drafting documents, and employee coordination.
Confidentiality:
Mandatory confidentiality and signing a Non-Disclosure Agreement (NDA) is required. Assist with social media updates and simple marketing tasks when requested.
Work Environment & Schedule Work Environment:
100% Remote / Work-From-Home.
Core Hours:
Monday through Friday, 8:00 AM to 5:00 PM EST. Weekend Responsiveness (Required):
Saturday:
Brief check-in to send schedules to technicians and provide operational support.
Sunday:
"Soft touch" lead check (monitor for urgent calls/emails and schedule 1-2 priority inspections).
Home Office:
Must maintain a dedicated workspace with zero background noise during calls and reliable, high-speed internet.
