) We are seeking a dynamic and highly organized Office Administrator to join our team! In this vital role, you will be the backbone of our daily operations, ensuring the office runs smoothly and efficiently. Your energetic approach and attention to detail will support various administrative functions, enhance customer interactions, and maintain a professional environment. Responsibilities Manage front desk operations, greeting visitors and directing them appropriately with friendly professionalism Handle multi-line phone systems, answering inquiries promptly and routing calls efficiently Maintain accurate data entry, filing systems, and document proofreading to ensure information integrity Utilize software tools such as Microsoft Office, Google Workspace, and QuickBooks for administrative tasks and bookkeeping Support calendar management and scheduling for team members, including appointment setting and reminders Provide exceptional customer support by addressing inquiries, resolving issues, and ensuring positive interactions Perform clerical duties such as filing, photocopying, organizing office supplies, and managing incoming/outgoing correspondence Skills Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications Strong organizational skills with the ability to prioritize tasks effectively and meet deadlines Excellent phone etiquette with experience managing multi-line phone systems in a professional manner Bilingual abilities are highly desirable to serve diverse client needs effectively Demonstrated office management experience with knowledge of clerical procedures and administrative best practices Familiarity with QuickBooks for bookkeeping and financial recordkeeping Exceptional attention to detail for proofreading documents and data entry accuracy Strong time management skills to juggle multiple responsibilities efficiently Personal assistant or medical/dental receptionist experience is a plus for understanding specialized workflows Knowledge of office equipment operation including fax machines, scanners, and printers Join us as an Office Administrator to be a key contributor in creating a welcoming environment while supporting our team's success!
