  • 5:00 PM (Some weekend availability required — remote flexibility on weekends when needed) Pristine Clean and Restoration is growing fast, and we're looking for an Office Manager who can help keep the operation moving at a high level.
This is not a quiet desk job. We're in the emergency restoration business — floods, mold, fire, emergencies, insurance claims, scheduling chaos, customer concerns, technicians needing support, and constant moving parts. We need someone organized, sharp, calm under pressure, and capable of helping lead the day-to-day operation of the business. We are not looking for someone just looking for a paycheck. We want someone who takes ownership, protects the company's reputation, and treats the business like their own. Responsibilities Answering phones and handling customer communication Scheduling crews, inspections, and emergency services Managing job flow and daily operations Coordinating with technicians, project managers, and customers Communicating with insurance adjusters and property managers Assisting with invoicing, collections, and job documentation Managing customer complaints and difficult situations professionally Keeping files, CRM systems, and restoration software updated Supporting ownership with operational tasks and follow-up Helping maintain strong online reputation and customer experience Assisting with marketing coordination, social media posts, and review follow-ups when needed Must Have Strong customer service and communication skills Ability to multitask in a fast-paced environment Comfortable dealing with pressure, emergencies, and changing schedules Thick skin and professionalism during stressful situations Experience working in an office environment Strong organizational skills and attention to detail Experience with Microsoft Office Comfortable using technology and AI tools to improve efficiency Reliable transportation Flexible schedule when emergencies happen Nice To Have Experience in restoration, cleaning, mitigation, or construction industry Experience with restoration software (Housecall Pro, Jobber, DASH, Xactimate, Encircle, etc.) Experience dealing with insurance adjusters and claims Dispatching or scheduling experience Understanding of mold, water, or fire restoration process Experience managing technicians or field employees What We're Looking For Someone proactive, not reactive Someone who can solve problems without needing constant direction Someone who communicates professionally with customers and staff Someone who can help bring structure and accountability to a growing company Someone who genuinely cares about customer experience and company reputation Pay based on experience.
