We are building a high-performing, mission-driven team that delivers exceptional results while providing an empathetic, client-centered experience. We are looking for an Office Manager / Paralegal to take ownership of both the operational side of the firm and key legal support functions. This is a hybrid role designed for someone who understands how a law firm runs and wants to grow with it. You will be responsible for keeping the office running efficiently while also supporting attorneys with substantive legal work. This is a hands-on role with real responsibility and room to grow into a leadership position as the firm expands. Core Responsibilities Office Operations Oversee and manage all day-to-day office operations Build and maintain efficient systems and workflows Ensure the office runs smoothly, professionally, and without gaps Manage vendors, supplies, and office needs Paralegal & Legal Support Draft legal documents including letters of representation, demand letters, and basic correspondence Assist with case management from intake through resolution Organize and maintain case files in Clio or similar system Track deadlines, filings, and key case milestones Conduct basic legal and factual research as needed Assist attorneys in preparing cases for negotiation, mediation, or litigation Team Management & Accountability Supervise intake and administrative staff Ensure team members are following protocols and meeting KPIs Train new hires on systems, expectations, and client communication standards Identify inefficiencies and implement improvements Client Experience Maintain a high-touch, empathetic client experience Ensure all clients receive timely communication (including 24-hour response standard) Handle escalated client issues when needed Help ensure clients feel informed, supported, and respected throughout their case Intake & Workflow Oversight Oversee intake pipeline and case screening process Ensure timely follow-up on all leads Track conversion metrics and identify opportunities for improvement Step in on intake calls when needed Financial & Administrative Support Assist with billing coordination, payments, and tracking Monitor expenses and support operational budgeting Help maintain reporting on firm performance metrics Qualifications Paralegal experience strongly preferred (employment law experience is a plus) Experience managing an office or operations required Highly organized with strong attention to detail Able to manage multiple priorities in a fast-paced environment Strong written and verbal communication skills Comfortable drafting professional legal correspondence Experience with Clio, Law Ruler, Google Workspace, and Excel preferred Proactive, solution-oriented, and accountable What We're Looking For Someone who takes ownership and does not wait to be told what to do Someone who sees problems and fixes them Someone who can balance operations and legal work Someone who wants to grow with the firm and take on more responsibility over time Position Details Full-time, onsite in Syracuse, NY Competitive salary based on experience Growth opportunity into a senior operations or leadership role as the firm expands
