Job Brief As an Executive Assistant, you excel at balancing the needs of the organizations you support with precision. Our client, a leading investor in early-stage technology companies, has a strong track record and fosters a collaborative culture that shapes the future of tech innovation. Based in SoMa, San Francisco, this onsite (5 days in-office) offers a competitive salary of $120K-$140K. As the Office Manager /Executive Assistant, you'll be the backbone of the office, ensuring seamless daily operations and providing essential support to the team. THE JOB:
Strategically Master Calendars:
Command complex calendars with finesse, effortlessly arranging meetings and setting up appointments.
Office Administration:
Act as the primary liaison with building management, oversee office budget and invoices, manage office access, safety, and security processes, and ensure compliance for office visitors.
Space and Resource Planning:
Manage office space planning and forecasting, oversee workplace amenities and resources, and facilitate internal office moves.
Meeting and Database Management :
Organize meetings, maintain databases, and handle correspondence with professionalism and efficiency.
Travel Coordination:
Book transport and accommodations for team members and visiting stakeholders.
Event Planning:
Organize company events, conferences, and team-building activities.
Office Procurement:
Order and manage office supplies, IT equipment, and other resources.
Logistics and Supplies:
Maintain phone/email lists, manage office and kitchen supplies, oversee office equipment maintenance, and handle mailing, shipping, and shredding services.
HR Assistance :
Support HR functions by maintaining personnel records, arranging interviews, and assisting with onboarding programs.
ABOUT YOU
As the EA you'll oversee the smooth management of operations that underlines everyone else's success. You're the type of person who thrives on variety and can achieve great things across multiple business areas thanks to your adaptability and ability to efficiently streamline processes. You'll also need: 4+ years experience in an Executive Administrative Assistant, Office manager, Office Coordinator, working in venture capital, private equity investment management, or similar
Organized & Proactive :
Exceptional organizational skills with the ability to anticipate needs and tackle challenges head-on.
Tech-Savvy :
Proficient in Microsoft Office Suite and quick to learn new tools and systems.
