Job Summary Osberg-Braun Immigration is seeking an experienced, organized, and proactive Office Manager with strong QuickBooks experience to help oversee and improve the daily operations of a fast-paced immigration law office. Prior law firm experience is required, and immigration law office experience is preferred. We are looking for someone who is honest, hardworking, reliable, detail-oriented, and capable of managing multiple responsibilities while maintaining professionalism, productivity, and strong communication with attorneys, staff, clients, and vendors. The ideal candidate takes initiative, thrives in a high-volume environment, and understands how to create structure, accountability, and efficiency within a growing legal team. Duties Managing day-to-day office operations Maintaining and organizing QuickBooks records Processing invoices, payments, retainers, and reconciliations Assisting with payroll and financial tracking Improving office systems and workflow efficiency Monitoring deadlines, calendars, and staff coordination Maintaining organized client and office records Assisting with administrative and operational tasks Helping implement productivity systems and office procedures Communicating professionally with staff, vendors, and clients Requirements Proven experience in office management or administrative roles with strong organizational skills Proficiency in QuickBooks for bookkeeping and Microsoft Office Suite (Word, Excel, Outlook) Excellent computer literacy with Google Workspace applications and data entry skills Bilingual fluency (English/Spanish or other relevant languages) is highly preferred to serve diverse clients and staff effectively Strong time management skills with the ability to prioritize tasks efficiently in a fast-paced environment Experience as a dental or medical receptionist or personal assistant is advantageous but not required Demonstrated customer service skills with a friendly demeanor and professional communication style
