Executive Administrative Assistant / Office ManagerJob Overview We are seeking a highly organized, energetic, detail-oriented, and technically skilled Executive Administrative Assistant / Office Manager to support executive leadership and oversee daily administrative operations across a fast-paced, multi-company business environment. This role requires someone who is not only strong in traditional executive assistant and office management duties, but also has strong technical computer knowledge. The ideal candidate must be comfortable working with email systems, websites, online applications, cloud platforms, Excel, Google Sheets, scripts, automation tools, and digital workflows. This position is ideal for a self-starter who can work independently, learn new skills quickly, troubleshoot problems, research solutions, and take ownership of tasks without needing constant supervision. Key ResponsibilitiesExecutive Administrative Support Provide direct administrative support to company executives and leadership. Manage calendars, appointments, meetings, reminders, and follow-ups. Schedule calls, interviews, vendor meetings, contractor meetings, project meetings, and internal meetings. Draft, edit, proofread, and format professional emails, letters, memos, reports, agreements, job posts, internal documents, and business communications. Track tasks, deadlines, action items, and follow-up items to ensure completion. Help organize executive priorities, documents, projects, and communications. Handle confidential company, financial, employee, contractor, customer, and business information with discretion. Assist with personal assistant duties, errands, coordination, and administrative follow-up as needed. Technical Computer Systems & Digital Operations High Priority Must have strong technical computer knowledge and be comfortable solving computer, software, and online system problems. Set up, manage, and troubleshoot business email accounts, email forwarding, email signatures, shared inboxes, user accounts, and related settings. Assist with website maintenance, including updating website content, forms, pages, plugins, basic design changes, hosting settings, domains, DNS, and related online tools. Set up and manage online applications, SaaS platforms, CRM systems, project management tools, contractor platforms, cloud storage systems, and business software. Troubleshoot computers, printers, scanners, software, login issues, cloud applications, browser issues, and general IT problems. Manage digital workflows, cloud file systems, shared drives, permissions, folders, and document organization. Assist with Google Workspace, Microsoft 365, Google Drive, SharePoint, Dropbox, Gmail, Outlook, and similar platforms. Help set up and manage users, permissions, access controls, shared folders, and online business accounts. Research and implement new software, online tools, automation systems, and technical solutions as needed. Must be able to learn new systems quickly and independently figure out how to use new online platforms. Excel, Google Sheets, Scripting & Automation High Priority Must have strong Microsoft Excel and Google Sheets skills. Create and maintain spreadsheets for tracking, reporting, data organization, financial records, inventory, projects, vendors, tasks, and business operations. Use formulas, filters, sorting, conditional formatting, structured data, linked sheets, data validation, and reporting tools. Create or assist with automation using Google Sheets, Google Forms, online applications, Zapier-style tools, or similar platforms. Ability to write or modify basic scripts is strongly preferred. Experience with Google Apps Script, Python, JavaScript, VBA, or other scripting/programming tools is a plus. Assist with pulling, cleaning, organizing, importing, exporting, and reconciling data from different systems. Help create dashboards, logs, reports, and tracking systems for management. Use online tools and scripts to improve business workflows and reduce manual work. Website, API, Cloud & Server Support Preferred / Strong Plus Assist with website updates, website maintenance, domain management, DNS records, hosting accounts, and basic website troubleshooting. Experience with WordPress, website builders, hosting dashboards, cPanel, or similar systems is preferred. Ability to help set up or coordinate basic server, cloud, API, or hosting-related tasks is a strong plus. Familiarity with Google APIs, Google Cloud, AWS, cloud servers, database tools, or automation platforms is preferred. Ability to work with technical vendors, developers, contractors, or support teams to solve cloud, server, website, or API-related issues. Ability to understand technical instructions, follow documentation, and implement setup steps carefully. Programming knowledge is not required, but Python, JavaScript, Google Apps Script, VBA, or similar programming experience is a strong plus. Office Management & Multi-Company Coordination Oversee daily office operations and help ensure the business runs smoothly and efficiently. Coordinate administrative activities across multiple affiliated companies and business units. Maintain organized files, records, documents, spreadsheets, reports, and internal tracking systems. Manage front desk operations, including greeting visitors, answering phones, routing calls, and handling professional communications. Coordinate office supplies, office equipment, maintenance requests, and general workplace organization. Assist with onboarding employees, contractors, vendors, consultants, and service providers. Keep company folders, shared drives, cloud storage, and digital records organized and up to date. Maintain clear separation and organization of records for multiple companies. Assist with company forms, checklists, procedures, internal systems, and workflow improvements. Technical Documentation & Engineering Support High Priority Create, edit, and maintain professional technical documentation using Microsoft Word and related tools. Develop and update engineering-related documents, specifications, procedures, reports, forms, manuals, compliance documents, and internal process documents. Format documents to a high professional standard, including proper structure, headings, tables, headers, footers, page numbers, spacing, and consistency. Convert, compile, organize, and generate high-quality PDF documents from Word, Excel, images, and other formats. Maintain version control and organized document histories across multiple companies. Assist in preparing documents for certifications, regulatory filings, internal procedures, investor packages, project deliverables, and operational records. Maintain organized digital libraries for technical, operational, engineering, financial, and administrative documents. Support leadership, operations, and engineering teams in drafting, editing, revising, and finalizing documentation. Ensure documents are accurate, complete, professional, and ready for internal, customer, vendor, investor, or regulatory use. Required Experience & Qualifications Proven experience as an Executive Administrative Assistant, Office Manager, Administrative Manager, Operations Coordinator, Technical Administrative Assistant, or similar role. Strong executive assistant and office management skills are required. Strong technical computer skills are required. Must be able to work independently with minimal supervision. Must be able to learn new skills, software, systems, and technical concepts quickly. Must be resourceful and able to research, troubleshoot, and solve problems independently. Strong Microsoft Excel and Google Sheets experience is required. Strong Microsoft Word, Google Docs, Google Workspace, Microsoft Office, and cloud file management experience. Experience setting up or managing email accounts, online applications, websites, cloud systems, and user accounts is strongly preferred. Ability to create, edit, and maintain spreadsheets, reports, tracking systems, and documentation. Experience with scripts, automation, Google Apps Script, Python, JavaScript, VBA, or similar tools is a strong plus. Experience with website maintenance, website hosting, domains, DNS, Google APIs, AWS, Google Cloud, or cloud servers is a strong plus. Demonstrated ability to create technical documentation, engineering-related documents, business documents, and professional PDFs. Ability to troubleshoot basic computer, software, printer, scanner, website, email, and online system issues independently. Familiarity with QuickBooks or similar accounting software preferred. Experience with shipping, logistics, inventory tracking, procurement, or operations coordination preferred. Strong attention to detail and ability to proofread documents carefully. Excellent organizational skills and ability to manage multiple priorities. Strong written and verbal communication skills. Ability to handle confidential information professionally. Bilingual abilities are a plus. Ideal Candidate The ideal candidate is someone who combines strong executive assistant skills with strong technical computer ability. This person should be organized, reliable, computer-savvy, detail-oriented, and able to support executives while also helping manage office operations, online systems, spreadsheets, documentation, websites, email systems, and digital workflows. The ideal candidate must be able to work independently, learn quickly, solve problems, and take ownership of tasks without needing constant supervision . This role is best suited for someone who can figure things out, research solutions, ask good questions when needed, and quickly learn new systems, software, processes, and technical skills. The ideal candidate should also be comfortable working with Excel, Google Sheets, online applications, websites, email setup, cloud systems, scripts, automation tools, and technical documentation. Programming experience is not required, but it is a strong plus.
