M-F, 8:00-5:00 POSITION SUMMARY To perform a variety of general administrative duties and provide support to multiple managers and sites as required.
ESSENTIAL FUNCTIONS
Essential Functions Statement(s) Office Support Answer and field telephone calls Liaison for computer / telephone issues / office equipment Receive and direct visitors Email, scan, fax, proof and copy documents as requested Coordinate meetings, appointments and travel arrangements for Managers, as well as assisting with visitors as needed Manage Master Outlook Calendar Monitor and update non-disclosure agreements Monitor office supply inventory and order as needed Purchasing Support Compile information for submission of credit applications for new vendors. Monitor and track vendor contracts. Enter new vendors in system. Update the Approved Supplier List (ASL) and obtain updated ISO certificates from vendors Accounting/Data entry Entering End of Month Journal entries Secure required back-up and approvals for Accounts Payable Enter receivables as directed by the Controller Prepare check batches and mailing checks Assist with annual tax related forms Sales Admin Utilize the ERP system to create new or make changes to existing BOMs, routers, and part numbers Maintain inventory reports as needed Generate sales orders Generate manufacturing orders Invoice customers Maintain customer records for open orders Maintain Sales forecasts and backlog reports Special Projects as assigned
POSITION QUALIFICATIONS
Competency Statement(s) Strong written and verbal communication skills Exceptional customer service skills, over the phone and in person, with customers and internal departments Ability to juggle multiple projects with accuracy Ability to work under pressure and complete tasks with a strong attention to detail Ability to prioritize and organize tasks to ensure timely completion. Ability to find a solution for or to deal proactively to solve work-related problems
SKILLS & ABILITIES
Education:
  • High School Diploma or GED required.
  • Associate's Degree (two year college or technical school) preferred.
Experience:
  • Two or more years related experience and/or training in an administrative support role or equivalent combination of education and experience required.
  • Bookkeeping experience required.
Computer Skills:
  • Computer proficiency required
  • Microsoft Office and Internet proficiency required
  • ERP systems proficiency preferred
Job Type:
Full-time Pay:
$50,000.00
  • $60,000.
