The candidate should have a big outgoing personality and excellence communications skills. This vital role involves overseeing and administrative functions, front desk operations, and ensuring seamless communication across departments. The ideal candidate will bring a proactive attitude, excellent organizational skills, and a passion for creating a welcoming and productive workplace. Duties Daily office operations, including front desk activities and greeting visitors with professionalism and warmth Answering our calls and effectively building schedules for our teams. Also, answers inquiries promptly, and direct calls efficiently using proper phone etiquette Making calls to our customers for follow ups after service, also checking on estimates and sales Maintain accurate records through data entry, filing, and proofreading to support administrative workflows Handle calendar management for team members, scheduling appointments and meetings with precision Utilize office management software such as Microsoft Office, Google Workspace, and QuickBooks for bookkeeping, invoicing, and document preparation Support customer service efforts by assisting clients or visitors with inquiries and providing exceptional support Oversee clerical tasks including typing, proofreading, filing, and managing office supplies to ensure a well-organized workspace Additional duties as assigned may include but not limited to, onsite pictures, parts pick up, pulling permits, payroll, hiring and anything to assist the CEO. Experience in sales, marketing and social media, a notary is a plus Qualifications Proven experience in office management or administrative roles with strong organizational and customer service skills Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace, and computer literacy in general Familiarity with QuickBooks for bookkeeping and financial recordkeeping Excellent phone etiquette skills Previous experience as a receptionist or personal assistant is a plus Strong time management skills with the ability to prioritize tasks effectively Clerical experience including data entry, filing, proofreading, and calendar management Must pass drug and background screening Join us as an Office Manager to lead our team with enthusiasm and professionalism.
