Position Summary The Business Office Manager supports the Executive Director in the day-to-day operations of our memory care community. This role blends organization, service, and trust, ensuring administrative processes run smoothly so our care teams can focus on what matters most, our residents. You will oversee key administrative functions such as resident accounts, billing, payroll support, HR coordination, and office management, while serving as a dependable and welcoming resource for residents, families, and team members. Key Responsibilities Provide administrative support across Resident Accounts, Accounts Payable, HR, Payroll, and Office Management Manage move-ins, move-outs, rate changes, billing, and collections Process invoices and complete monthly purchase reconciliations Support HR functions such as new hire onboarding, training coordination, personnel files, and payroll timesheets Maintain organized records, office supplies, and the Resident and Guest Register Assist the Executive Director with reports, documents, and special projects Help ensure the community remains safe, secure, and well supported by responding to resident needs and monitoring systems Serve as Manager on Duty when needed, including occasional weekends Perform additional duties as assigned to support the community's success Education & Experience Must be at least 21 years of age At least 1 year of administrative or management experience preferred Experience in senior living, memory care, property management, or healthcare is a plus Accounting or bookkeeping experience preferred Experience with timekeeping, payroll, or staff coordination is helpful Ability to meet all applicable state requirements Skills & Qualifications Warm, professional communication skills, both written and verbal Strong organizational skills and attention to detail Compassionate, service-oriented approach when working with residents, families, and team members Ability to work independently, prioritize tasks, and meet deadlines Proficiency in Microsoft Word, Excel, and Outlook Discretion and respect for confidentiality Ability to represent Ashley Gardens with professionalism, empathy, and care Why You'll Love Working at Ashley Gardens We believe a supported team creates a thriving community.
