To learn more, visit our website at cfcforhealth.com Position Overview We are seeking a confident, organized, and service-driven Office Manager . This is a full-time, on-site leadership role that combines front-office operations, patient financial coordination, team accountability, and exceptional customer service. This position is ideal for someone who enjoys leading people, creating structure, building relationships with patients, and keeping a clinic running smoothly and efficiently. The right candidate is detail-oriented, solution-focused, and able to confidently guide patients through scheduling, financial arrangements, and care plan coordination while supporting doctors and staff in daily operations. Responsibilities Leadership and Team Accountability Lead, manage, and hold accountable clinic staff and providers Foster a positive, professional, and productive work environment Support team development through communication, coaching, and problem-solving Address operational or staff concerns promptly and professionally Help maintain clinic systems, standards, and efficiency Clinic Operations & Facilities Oversight Oversee daily front-office operations and patient flow Coordinate with leadership regarding clinic needs, supplies, and facility maintenance Ensure the clinic remains organized, professional, and patient-ready at all times Patient Check-Out & Experience Check out patients following appointments and ensure a seamless experience Clearly communicate treatment recommendations, care plans, and next steps Help patients feel informed, confident, and supported in their healthcare journey Deliver exceptional customer service and build strong patient relationships Scheduling & Care Coordination Schedule future visits, consultations, and follow-up appointments Coordinate and map out patient care plans Reschedule missed appointments and maintain accurate scheduling systems Help optimize provider schedules and clinic efficiency Financial Coordination & Administrative Duties Manage patient accounts and enter financial transactions accurately Collect payments for services, treatment plans, and retail products Explain financial agreements and payment plan options confidently and professionally Verify and interpret insurance benefits including BCBS, UHC/Optum, Aetna, and Medicare Assist patients with insurance-related questions and account balances Prepare and reconcile daily financial reports, deposits, and collections Communication & Office Support Answer incoming calls and assist patients with questions or scheduling needs Communicate effectively with doctors regarding patient care plans and office operations Support office marketing efforts including workshops, events, and patient outreach initiatives Patient Engagement & Retention Support patient appreciation and recognition programs Collect testimonials, reviews, and patient feedback Encourage participation in wellness workshops, events, and ongoing care programs Help create an outstanding patient experience that drives retention and referrals Reporting & Administrative Tasks Balance and reconcile daily income and transactions Prepare end-of-day reports and supporting documentation Track patient visit metrics, collections, and office performance indicators Participate in weekly reporting and team meetings Maintain accurate and up-to-date patient account records Qualifications Leadership or office management experience preferred Strong communication and customer service skills Comfortable discussing finances, payment options, and treatment plans with patients Highly organized with strong attention to detail Ability to multitask and prioritize in a fast-paced environment Professional, dependable, and solution-oriented mindset Basic computer, scheduling, and administrative skills Previous healthcare, chiropractic, medical office, or front desk experience preferred What We're Looking For A confident leader who can motivate and support a team Someone who thrives in a patient-facing environment Strong accountability and follow-through Positive, team-oriented attitude Reliable under pressure with excellent organizational skills A proactive problem solver who takes ownership of clinic success Benefits Paid time off Healthcare Benefits Chiropractic Care for Employee and Immediate family members 401(k) matching Opportunities for advancement
