Position Overview We are looking for a high-level Administrative & Operations Coordinator who thrives in a fast-paced environment and takes ownership of their role. This is not a basic admin position — this is a critical role in the company that directly impacts how smoothly our projects run and how our clients experience the process.
This position blends:
Office administration Client communication Project coordination Material sourcing & pricing Interior design & selections Renderings and visual support You will be involved from first client contact through project completion , helping ensure every detail is handled at a high level. Key ResponsibilitiesClient Communication & Office Operations (Core Function) Serve as a primary point of contact for clients (calls, emails, follow-ups) Schedule consultations, site visits, and project meetings Maintain clear, professional, and timely communication Manage inboxes and ensure nothing falls through the cracks Help deliver a seamless, high-end client experience Project Coordination & File Management Create and maintain organized digital project files Manage and track: Contracts Permits Selections Client communication Ensure all documentation is complete, accurate, and up to date JobTread (Proposals, Invoices & Project Setup) Build and manage: Proposals Estimates Change orders Client invoices Input accurate pricing and selections Ensure proposals are clean, professional, and client-friendly Coordinate updates with project managers Material Sourcing & Pricing (Critical Role) Source materials including: Cabinets Fixtures Flooring Trim and specialty items Request and compare vendor pricing Build accurate pricing for estimates and proposals Ensure alignment with: Project scope Budget expectations Company margins Communicate with vendors to confirm: Availability Lead times Specifications Interior Design & Selections Assist clients with material and finish selections Help guide decisions based on style, function, and budget Create selection sheets and presentation packages Ensure all selections are documented and approved Renderings & Visual Support Assist in creating: Basic renderings Before/after visuals Client presentation materials Support clear visual communication of design concepts Vendor & Subcontractor Coordination Communicate with vendors and subcontractors regarding: Pricing Scheduling Product orders Request and track: W-9s Certificates of Insurance (COIs) Maintain organized vendor and subcontractor records Operations & Process Support Follow and help improve internal systems and SOPs Support leadership with daily operational needs Identify inefficiencies and help implement better processes What We're Looking ForRequired Highly organized with strong attention to detail Excellent communication (written and verbal) Ability to manage multiple projects and priorities Strong problem-solving mindset Comfortable working with numbers, pricing, and budgets Self-motivated and takes ownership of responsibilities Preferred Experience in construction, remodeling, or design Material sourcing and pricing experience Familiarity with JobTread or similar software Interior design or selections experience Basic rendering or photo editing skills Compensation & Growth $40,000 - $60,000 (based on experience) Growth opportunity into Operations or Project Management Hands-on experience in a growing design-build company Team-oriented, professional work environment Who This Role Is For This position is for someone who: Takes pride in doing things the right way Wants to be part of a growing company Enjoys structure, organization, and problem-solving Can handle responsibility and follow through We are looking for someone who wants to grow with the company — not just fill a position.
