We're looking for an organized, detail-obsessed, people-first Office Manager who takes pride in keeping things running smoothly — and who genuinely loves being the person everyone can count on.What You'll Do:
Client & Guest Experience Be the first face and voice of Epicosity — greeting guests and callers with warmth, professionalism, and energy Never miss an opportunity to excite and delight clients Finance & Billing Manage accounts payable end-to-end: reviewing invoices, maintaining documentation, reconciling vendor statements, and distributing checks Process monthly client invoices and manage timely collection of outstanding receivables Handle 1099/W-9 maintenance, vendor inquiries, and billing issue resolution Support the CEO and VP of Finance with accurate, timely financial tasks Office Operations Oversee office supply inventory and manage relationships with environmentally responsible, cost-effective vendors Keep the office organized, tidy, and running like clockwork Coordinate with vendors for cleaning, technology, trash, and other facility needs Sort and distribute mail; prepare US, UPS, and FedEx shipments as needed Manage employee travel arrangements and coordinate tradeshow logistics Maintain organized, clearly labeled filing systems in accordance with agency processes Culture & Events Plan and coordinate office culture events that bring the team together and reinforce Epicosity's intentionally positive workplace Champion the employee experience by organizing celebrations, team activities, and internal initiatives that make Epicosity a great place to workWhat We're Looking For:
Associate's degree or two-year equivalent in business administration, accounting, or a related field Strong data entry and general math skills Exceptional organizational skills and attention to detailSimilar remote jobs
