Job Description
OFFICE MANAGER
Position Summary:
This position is responsible for the overall administrative and logistical functions within the organization. This is a multi-functional role that combines responsibilities in sales support, vendor management, inventory management, and human resource functions.RESPONSIBILITIES
Manage company calendars, compliance filings, and administrative documentation. Support upper management with internal reporting, meeting preparation, and project coordination. Assist with licensing, insurance renewals, and other business filings. Prepare sales estimates, sales orders, and follow up with vendors and sales staff for order fulfillment and/or announcements. Maintain customer and vendor records, including tax documentation and order histories. Support both inside and outside sales staff with order management, product availability, and delivery status. Prepare and distribute weekly and monthly company reports. Assist with the monitoring of inventory levels. Coordinate vendor deliveries and process receiving paperwork, ensuring that all orders and invoices are accurate. Process credits for both customers and vendors, prepare monthly reports, and communicate to upper management any issues. Coordinate employee onboarding, maintain personnel records, and support leadership in implementing and maintaining company policies. Assists with Accounts Payable responsibilities and serves as the backup for this position. Provides general administrative assistance to all personnel.EDUCATION
Bachelor's degree preferredEXPERIENCE
At least one year in an Office Management role.SKILLS, KNOWLEDGE & ABILITIES
Strong interpersonal skills and a customer service mindset. Computer skills with proficiency in Microsoft Word, Excel or Google Sheets. Ability to do basic math, read orders, write instructions and complete forms. Verbal skills include proper use of clear, precise grammar plus professional telephone voice. Excellent organizational, time management, and attention to detail. Basic bookkeeping skills. Comfortable working in a small business environment requires flexibility and cross-functional involvement.PHYSICAL DEMANDS
Sit for long periods of time. Manual dexterity.ENVIRONMENT AND PHYSICAL WORKING CONDITIONS
