Knoxville, TN (travel to Kingsport, TN, < 10%)

Full-time, Hourly, Non-Exempt Company Overview Integral Engineering Group is a woman-owned small business based in Knoxville, TN, providing multi-disciplinary engineering services to sectors including petrochemical, nuclear, energy, defense, and manufacturing. We excel in process design, safety analysis, project engineering, and technical staff augmentation, working collaboratively across chemical, mechanical, structural, electrical, and instrumentation disciplines. Position Overview IEG is seeking a highly organized, proactive Office Administrator to support daily operations and serve as the backbone of our Knoxville office. This role is critical to maintaining efficient business operations, supporting leadership, and ensuring a professional and well-run office environment. You will work closely with leadership and project teams to keep administrative, operational, and compliance-related processes running smoothly. This position is primarily based in Knoxville, TN, with occasional travel to IEG's Kingsport office. Key Responsibilities Office Operations Manage day-to-day office activities, including supplies, vendor coordination, and facility needs Maintain a tidy, organized, and professional office environment Coordinate office logistics for meetings, visitors, and internal activities Monitor office inventory levels and manage supply budgets, escalating restocking needs in advance Plan and coordinate company events (team outings, holiday events, client visits, internal meetings) Help foster a positive and engaging office environment Administrative Support Provide direct administrative support to leadership and project managers Manage calendars, schedule meetings, and coordinate travel arrangements Assist with preparation and professional formatting of reports, proposals, and presentations (Word, PowerPoint, PDF deliverables) Support logistics for outreach events and client-facing engagements Support internal teams with data entry, tracking, and organization in NetSuite Assist with maintaining accurate project and operational records Coordinate with accounting and project teams as needed (non-invoicing support role) Other Departmental Support Assist HR with recruiting and onboarding tasks as needed Support employee security documentation (e.g., clearance paperwork coordination, tracking status, maintaining secure records) Track employee certifications, training, and compliance documentation Support internal processes related to government contracting requirements Help track contracts, insurance certificates, and renewal deadlines Assist with document management and filing systems (both physical and digital) Support continuous improvement of administrative and operational processes Assist with maintaining IEG's presence on platforms such as LinkedIn Help draft and schedule posts highlighting company projects, hiring, and events Coordinate with leadership to capture content (photos, milestones, announcements) Ensure branding consistency across external communications Required Qualifications 3+ years of administrative, office management, or operations experience Experience handling sensitive or confidential documentation Strong organizational skills and attention to detail Strong proficiency in Microsoft Office (especially Word formatting and PowerPoint) Ability to manage multiple priorities and meet deadlines Strong communication and interpersonal skills Must be a U.S. Person (citizen or lawful permanent resident) to meet ITAR compliance requirements). Preferred Qualifications Associate degree in Business Administration, Accounting, Human Resources, Office Management, Project Management, or a related field. Experience with ERP systems (especially NetSuite) Experience supporting engineering, construction, or professional services firms Familiarity with government contracting environments (DoD/DOE) Experience supporting basic social media or marketing efforts Key Traits for Success at IEG Proactive
