Office Manager / Service Coordinator OGNTech, LLC Memphis, TN Job Details Full-time $46,000 - $52,000 a year 7 days ago Qualifications Customer communication Microsoft Excel Microsoft Outlook Project coordination Driver's License QuickBooks Office management Full Job Description About the Role OGNTech is seeking a highly organized Office Manager to oversee daily administrative operations while providing coordination support for our Low Voltage service division. This role works closely with the Project Manager to help keep service operations moving, support field technicians, coordinate scheduling and dispatching, and ensure clear communication between clients, vendors, and internal teams. This is an execution-focused role where priorities and direction are provided by management, and the Office Manager helps ensure tasks are completed accurately and on time. What You'll Do Office & Administrative Support Support daily administrative operations across the company Process timesheets, contractor invoices, and general documentation Maintain organized job files and internal records Reconcile receipts and track expenses Answer and route incoming calls; respond to client and vendor inquiries Support overall office workflow and coordination Low Voltage Service Coordination (PM-Directed) Create, dispatch, and manage service tickets in Service Fusion based on PM direction Coordinate scheduling and dispatching of field technicians Communicate with clients regarding service requests and scheduling updates Assist Project Manager with scheduling and field coordination activities Create work orders and ensure accurate job setup and tracking Schedule logistics such as lift rentals, deliveries, and pickups Coordinate contractors and subcontractors as directed Support job closeout and ensure proper documentation is completed for billing Purchasing & Billing Support Purchase materials for approved service and project work Place and track orders and deliveries Manage job-related purchasing records and receipts Process and track invoices in QuickBooks and Service Fusion Ensure accurate job closeout and billing completion What We're Looking For Strong organizational and multitasking skills Excellent communication and customer service abilities High attention to detail and accuracy Ability to manage multiple priorities in a fast-paced environment Comfortable working with clients, technicians, and vendors Experience with QuickBooks and Microsoft Office (Outlook, Excel, Word) Must pass background check Valid driver's license and reliable transportation required Preferred Experience MSP, IT services, low-voltage, security, or telecommunications background Experience with Service Fusion or similar dispatch/service software Familiarity with field service coordination or technician scheduling
