Job Description

The Front Office Manager serves as the primary point of contact for students, families, and visitors, ensuring a welcoming, organized, and secure front office environment. This role manages attendance, student check-in and dismissal, and daily front office systems, while supporting clear communication and smooth campus flow. Working closely with the Principal, the Front Office Manager helps ensure consistent execution of student-facing processes and a positive day-to-day experience for the school community.   • 4 PM) The Front Office Manager (FOM) oversees the school's front office and serves as the primary point of contact for students, families, and visitors.
This role ensures a welcoming, organized, and secure environment while managing attendance, student flow, and front office systems. In partnership with the Principal, the FOM supports consistent execution of student-facing systems, including attendance, communication, and campus flow.
Experience:
Experience in front office, administrative support, customer service, or a related role Ability to manage a fast-paced, high-interaction environment with strong organization and follow-through Experience with office systems or databases (Blackbaud or similar preferred) Experience handling confidential information with discretion Experience in a school setting preferred

Warm, professional presence with the ability to make students, families, and visitors feel welcome Highly organized with strong attention to detail and follow-through Calm and composed in a fast-paced environment with frequent interruptions Clear, courteous, and friendly communicator with students, families, and staff Dependable and consistent in managing daily responsibilities Maintains discretion and confidentiality at all times
Job Responsibilities:
Front Office Management Oversee the daily operation of the front office, ensuring a welcoming, organized, and professional environment Serve as the first point of contact for students, families, visitors, and staff Maintain consistent front desk coverage and manage daily workflow and priorities Maintain a clean, organized, and functional front office space Exercise judgment in prioritizing competing demands in real time Reception and Communication Manage phones, front desk email, and in-person inquiries Greet and assist all visitors and ensure a positive, professional experience Communicate and route messages, requests, and immediate needs to the appropriate individuals in a timely manner Student Services and Attendance Maintain accurate daily attendance records in Blackbaud Manage student check-in, check-out, early dismissals, and late arrivals Track and maintain documentation related to absences and medical notes Communicate daily attendance to families and follow up on unreported absences in alignment with school policy Ensure consistent implementation of attendance procedures and escalate patterns of concern to the Principal Safety and Visitor Management Monitor front desk security and control visitor access to campus Ensure all visitors follow established sign-in and safety procedures Maintain awareness of school safety protocols and respond appropriately Health and Student Support Provide basic first aid and administer medications as trained and authorized Respond to student needs during the school day and escalate concerns as needed Communicate with families regarding minor health concerns Administrative Support Provide administrative support to faculty and leadership as assigned Maintain organized front office systems and records Support day-to-day school operations through consistent and effective front office execution
